Are you the kind of person who loves turning chaos into a perfectly timed plan? As our Product Delivery / Operations Manager, you’ll be the engine behind the On-Site Coordinator Department—keeping people, schedules, and systems running smoothly while leading a dynamic team of 150+ coordinators.
You’ll manage day-to-day operations, schedule and deploy coordinators across assignments, and be the go-to problem solver for staff, hotels, and night chaperones alike. From training new coordinators and leading weekly spring meetings, to approving expenses, polishing reports, and keeping handbooks and resources up to date, you’ll make sure everyone has what they need to succeed.
This role is part leader, part organizer, part communicator—and a whole lot of teamwork. If you enjoy juggling details, leading with clarity, working under pressure, and being the connective tissue between departments (with some travel and busy seasons mixed in), this is your chance to make a big impact while having fun doing it.
Responsibilities:
- Serve as Product Delivery / Operations Manager of the On-Site Coordinator Department:
- Manager of On-Site Coordinator Department in day-to-day operations.
- Oversee and manage office staff and part-time, seasonal employees.
- Assignment (stint) scheduling, confirmations, and entry into system.
- Facilitate annual training for new On Site Coordinators.
- Conduct weekly meetings March through May for all On Site Coordinators.
- Provide support to review, process and approve On-Site Coordinator per diem, expenses, and reimbursements as needed.
- Review and maintain departmental forms and reports paperwork as needed.
Additional responsibilities to include:
- Liaison between the Hotel and On-Site Coordinator Departments.
- Liaison between the Night Chaperone and On-Site Coordinator Departments.
- Function as a contributing member of the Product Delivery division through effective communication and assisting other staff members as needed.
- Additional duties as assigned by the Senior Director of Procurement.
Standard Team Member Responsibilities:
- Maintain accurate and up-to-date documentation.
- Foster communication between On-Site Coordinators staff and other departments.
- Maintain knowledge and communication of company policies and procedures to serve as an effective member of the WorldStrides staff.
- Support company policies and management decision with professionalism and importance.
- Communicate changes quickly and effectively.
- Assist with the yearly updates to the On-Site Coordinator Handbook and OSC Associate Handbook.
- Maintain and update informational files on both the On-Site Coordinator Resource Information Center (OSCIR) website and Microsoft Teams.
- Seek out and participate in internal and external programs that facilitate personal and professional growth.
- Approve weekly submittal of work hours and time off.

Qualifications:
- Four years bachelor’s degree
- three years’ experience in office environment with an ability to manage multiple tasks.
- Proven strengths in organizational and interpersonal skills and attention to detail.
- Capability to schedule and position personnel, while simultaneously managing a team of 150+.
- Ability to work independently under pressure and to meet deadlines.
- Available to work in the Washington, D.C. area office and travel periodically.
- Strong verbal communications, with visual-proofing skills for documents.
- Computer skills to include, but not limited to, a clear understating of Microsoft based systems. Practical experience with WORD, EXCEL, and ADOBE programs.
