In this role, you will:
- Take a hands-on role in administering internal systems, driving operational improvements through efficiency measures, assisting on special projects and enhancing overall effectiveness.
- Execute monthly accounting tasks, participating in budgeting, forecasting, and liaising with an external accounting firm for precise expense management and reporting.
- Carry-out and improve legal document workflow by flagging liability or compliance risks, building up our knowledge base and working efficiently across teams.
As a member of the Operations Department, the Business Operations Coordinator will be responsible for:
- Accounts Payable: Administer the accounts payable by gathering the required documentation, seeking approvals and scheduling payments.
- Financial Administration: Collaborate on budgeting and forecasting activities, maintain accurate expense reporting, and facilitate communication with external accounting partners.
- Legal Workflow: Oversee document workflows, conduct preliminary reviews of various legal documents, contracts, and agreements. Contribute to the organization’s knowledge base to maintain documentation on its compliance.
- Business Administration: Support in the accurate and timely filing of compliance documents and business registrations. Manage insurance requests, handle incoming mail and organize ongoing filing requirements.
- Software Administration: Provision and deprovision users, manage data hygiene across platforms and assist in adopting or migrating to new systems.
- Equipment Procurement: Manage the procurement, preparation, and deployment of equipment. Maintain hardware inventories.
- Cross-Functional Collaboration & Special Projects: Assist and participate in initiatives aimed at improving overall operational effectiveness and addressing cross-functional challenges. Work closely with different departments to identify bottlenecks and help implement solutions that contribute to the organization's success.
In the short term (the first 3 months)...
During your initial months, you'll dive into the financial management processes and establish a solid foundation for legal document workflows. Key responsibilities in this period include:
- Assisting in processing and reconciling payables.
- Familiarizing yourself with legal document workflows and compliance requirements.
- Engaging with software and system management, understanding the tools in place.
- Taking responsibility for administrative functions like mail processing and competing customer forms.
In the long term, you will...

- Carry-out the day-to-day financial operations of the company.
- Manage the legal workflow and customer operations.
- Ensure timely and accurate governmental and compliance filings.

We’re open to US and international (contractor) hires, but you must be able to work US / ET hours with at least a 4-hour overlap between 9am-1pm EST.
