SUMMARY:
The Event Planning Specialist will use strategic thinking to lead and facilitate partnerships between our organization and various schools and businesses. This position will be responsible for identifying, nurturing, and managing relationships that support our mission of bridging the gap between education and industry. This role will use relationship-building, project management, and strategic planning skills.
FUNCTIONS
Essential Functions:
- Identify Partnership Opportunities: Research and identify potential business partners and educational institutions that align with our mission and goals. Assess the compatibility of partnerships and their potential for mutual benefit.
- Relationship Management: Build and maintain strong relationships with companies, schools, and career mentors to foster collaboration and engagement.
- Company Registrations: Monitor and process new company registrations and career mentor registrations ensuring that all necessary documentation and information is accurately recorded and promoted.
- Education Requests: Monitor and support career-based learning experience requests from students and educators.
- Documentation and Reporting: Maintain detailed records of all registrations and interactions, keeping track of relevant information for future data reporting and value proposition to clients.
- Collaborative Initiatives: Work collaboratively with internal teams and external partners to develop, propose, and implement collaborative initiatives and events that benefit both businesses and schools within the Inspire WI Network.
- Project Management: Plan, execute, and oversee collaboration projects from inception to completion. Ensure that projects align with the objectives of both parties and are delivered on time and within budget.
- Financial Management: Generate and prepare accurate and comprehensive invoices for clients based on contracts and service agreements.
- Communication: Create and promote event opportunities through the Inspire WI website and newsletter communication.
- Client Experience: Ensure a seamless experience by overseeing event execution including pre and post-phases.
- Monitoring and Evaluation: Establish key performance indicators (KPIs) to measure the success and impact of collaboration initiatives. Regularly evaluate and report on the progress of projects to internal and external stakeholders.
- Networking: Attend relevant industry events, conferences, and networking opportunities to stay updated on trends and best practices in business and education collaborations.

WORK ENVIRONMENT / PHYSICAL DEMANDS
Work Environment:
- Ability to work in a professional and flexible office environment, with or without visual and audible distractions
- Ability to work in multiple settings, including varied agency, school or work-related sites or a home office environment
- Ability to work in a fast-paced environment
- The position may require extended hours including occasional early morning or evenings based on planned events and location
- The position may require travel to multiple work sites
Physical Demands:
- While performing the duties of this position, the employee is occasionally required to stand, walk, sit, use hands to finger, handle or feel, and reach with hands and arms
- The employee is regularly required to effectively communicate in person, via phone, and in writing
- The employee is required to drive between locations (schools, businesses or office) to provide direct service as applicable to specific meetings and events
The employee may occasionally lift or move equipment, office products, and supplies, up to 20 pounds
Experience, Education, and Licensure:
- Associate’s degree in Event Management, Marketing, Hospitality, Public Relations, Management or a related field
- Prior experience working in education, hospitality, marketing, and/or public relations
- Experience in project management with a track record of successful events
