MPS, a division of Macmillan Publishers, a leading US publisher of Trade and Academic titles, has a job opening for a Freight AP Analyst in our Gordonsville facility. MPS provides back office support, warehousing, and, fulfillment for Macmillan US, and is their primary distribution facility for North America.
POSITION SUMMARY: Will primarily focus on the freight invoice process flow, invoicing approval and coding, freight billing escalation with carrier, managing customer service and external requests that come in for the Traffic group, LTL tracking, Parcel tracking and escalation, backup for the Traffic Analyst, Carrier billing setup, and maintaining Routings in the system.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Freight Invoice Process
- Invoice Approval
- Invoice coding
- Working with Traffic Analyst on Freight Accrual
- Working directly with the carrier on any invoice escalation that needs to happen
- Responsible for LTL questions regarding billing
- New Carrier setup for billing
Traffic Responsibilities
- Managing customer service requests and questions that come in for the Traffic group
- Parcel tracking or escalation when requested
- Maintaining routings in the system
- Backup the Traffic Analyst when they are out
- Obtain Proof-Of-Delivery documents from the carriers for shipments.
- Obtain and send commercial invoices for carriers
- Various tasks assigned by the Logistics Manager
- Enforces established safety, health and housekeeping policies and procedures in order to minimize injuries, loss of production time and damage.
- Conforms to all company policies and procedures (Employee Handbook)
- Complies with all environmental, health and safety requirements.

- Demonstrated ability to organize and manage multiple tasks and staying focused on high priority tasks.
- Good written and verbal communication skills.
Education and/or Experience:
An ideal candidate should possess a Bachelor's degree or an equivalent qualification. In lieu of this, we consider an equivalent blend of relevant experience and/or training of a least four to six years. Experience in invoicing procedures and basic computer literacy is required. A requirement for this position is a moderate level of knowledge in Microsoft Excel.
Language Skills:
Ideal candidates must be able to read and interpret documents like invoices, write routine reports, and communicate effectively via email and phone with vendors, colleagues, and management.
Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate.
Reasoning Ability:
Ability to apply commonsense understanding to established procedures in order to carry out instructions furnished in written, oral, or diagram form.
Other skills and abilities:
Computer skills that will be factored in to include Microsoft Word, Excel, Access, VISTA, and WMS.
