The Legal, Procurement & Project Specialist, with minimum guidance from the legal team, manages complex legal and procurement activities, legal project management, and completes/oversees key administrative tasks to support Legal, Sales, Finance, Purchasing, and other departments across the company.
WHAT YOU’LL BE DOING:
• Oversee the maintaining of the legal contracts folders and contract files, organize incoming client and vendor contracts, capture and record key data from contracts, and efficiently process contracts in the queue daily
• Secure, design, lead and ensure a best practice approach to legal project management and successful delivery of tasks within both client and legal only- facing projects on bringing solutions using established and new tools and processes which includes identifying project scope, setting up project plan, and managing deliverables against project timelines, including exploring AI solutions that could be deployed to significantly increase efficiency with contract management (given the volume of contracts, different MSA versions, including increasing complexity of data access opt-ins due to marketing and product needs)
• Lead vendor/procurement coordination meetings (as needed) and maintain records of decisions and status of procurement processes
• Serve as the primary contact within the legal team for contract finalization and signature coordination
• Work cross-departmentally to address internal service requests including:
• Managing Salesforce administrative and project management duties for client support including creating and scheduling with stakeholders training sessions on Salesforce related and other client facing tasks (and working with the L&D team to record sessions for future availability); and managing the transition of administrative activities either to a self-service model or developing a centralized system access in connection with a contract management system including exploring AI solutions (e.g., a generative AI chatbot support model) that could be deployed to significantly increase efficiency
• Draft contract amendments (i.e., billing frequency changes, name changes, payment plans, etc.)
• Provide document request assistance
• Fill out client vendor forms and vendor portal registrations
• Provide copies of W-9s, certificate of insurance, business licenses, etc.
• Report, track, and analyze Salesforce data to improve efficiency of contract queue approval process, and coordinate with the Business Systems team to implement process improvements
• Train new Relias employees on legal department tools, systems, and engagement processes and take responsibility for such transition of training either to a self-service model or recording training sessions for future availability
• Retrieve and process legal department mail
• Other duties as assigned
YOU’VE GOT WHAT IT TAKES IF YOU HAVE:
• Bachelor’s Degree
• 2 years of legal or procurement process administration
• Strong attention to detail
• Excellent communication and organization skills
• High competency in core Microsoft applications (Word, Excel, OneDrive, SharePoint, PowerPoint)
• Exceptional time management skills
• High level of willingness to take initiative with minimal oversight or direction
• Managing multiple projects with competing deadlines
• Project management, time management, and leadership skills
IT WOULD BE NICE IF YOU HAVE:
• SaaS organization or healthcare setting experience
• Salesforce and Logicgate experience
• Procurement and vendor management experience
• Project management tools (e.g, Jira), methodologies, and software experience

IN OFFICE REQUIREMENT:

Our flexible hybrid work environment requires that you live in the state of North Carolina, within a commutable distance to our office (~1-hour commute). You would be expected to work in our Morrisville, NC Headquarters approximately 30/40 days/quarter.
