Event Operations Specialist

WHAT WE SEEK

The Event Operations Specialist will support our Events Team and a full event calendar. You’ll be tasked with collaborating with the Event Team to ensure that event related deliverables are running smoothly and supply orders and shipping deadlines are met, as well as a myriad of other event department related tasks. You'll need to be the right mix of detail and deadline oriented, reliable, flexible, but most of all greet each challenge and task with a positive and optimistic attitude. Communication will be key as you’ll work with The Events Team as well as with other departments as needed in a collaborative manner

WHAT YOUR DAY WILL LOOK LIKE

  • We need you to have an eye on all upcoming events, and support the Event Team with ensuring calendars and event postings are up to date. 
  • You will collaborate with the Event team and take a lead role in coordinating logistics for inbound and outbound shipments for events. You’ll use tools like Smartsheet, Slack, Outlook and Microsoft Office Suite, Google Drive, UPS Campus ship, etc. to coordinate all the little details that go into making our National events (Internal meetings, customer facing events, trade shows) a success. 
  • You need to be exceptional at keeping an eye on the small details while paying attention to the big picture for event schedules and goals, and execute tasks and deliverables to Carnegie Learning brand standards.
  • We’re looking for someone with the flexibility to jump in to help with various tasks as assigned. Tasks will include, but not be limited to: gathering information for promotional orders, liaising with vendors, preparing event shipments, receiving return shipments, asset and swag inventory management, and creating event assets such as name tags, registration packets, table numbers, etc.
  • You’ll be a part of the event planning process! Sit in on high-level strategy meetings and offer a fresh perspective to the design and event experience that can contribute to our overall event goals.

WHAT SHOULD BE IN YOUR BOOKBAG

  • Detail-oriented, flexible and able to multitask
  • Self-motivated and takes initiative 
  • Event execution or planning related experience is preferred  
  • Interest in the Meetings, Events and/or Hospitality industry preferred
  • Ability to work in a fast-paced, collaborative environment and deliver on deadlines
  • Fantastic communication skills, both verbal and written
  • Proficient in Microsoft Office, Google Drive
  • Regularly required to stand, walk, and sit; occasionally required to stoop, kneel or crouch; able to lift and/or push up to 40 lbs.
  • Work 80% of the time in the downtown Pittsburgh office, remainder of the time can be done remotely and as needed to complete projects and tasks.
