Role Summary
AERDF is seeking a Development Coordinator to provide critical operational, administrative, and logistical support to AERDF’s fundraising team. This role ensures that disciplined record-keeping, diligent donor communications, and smooth internal operations enable the team to focus on cultivating relationships and securing resources for AERDF’s mission.
The ideal candidate is a highly organized, detail-oriented, and trustworthy professional who enjoys building systems, managing information, and keeping collaborative work on track. Core Responsibilities
Data & Systems Management
- Maintain, audit, and update donor and prospect data in the CRM to ensure accuracy and completeness.
- Produce weekly pipeline dashboards and other team reports to monitor progress toward goals.
- Support data integrity, grant tracking, and other team systems that keep fundraising operations running smoothly.
Team Coordination & Support
- Manage calendars, meetings, and logistics for the CEO, Director of Development, and broader team.
- Take notes and track next steps for internal and external meetings, ensuring timely follow-through.
- Support travel coordination, expense processing, and procurement of supplies or materials as needed.
- Prepare and maintain templates for team meeting agendas, dashboards, and other planning tools.
- Coordinate development’s role in audits and grant reporting cycles.
Communications & Donor Support
- Draft and send donor correspondence and acknowledgment letters.
- Support timely, personalized communications with funders and partners.
- Provide excellent customer service to both internal and external stakeholders.
Qualifications

- Excellent project management skills, attention to detail, and ability to manage multiple priorities simultaneously.
- Track record of working in a fast-paced environment with flexibility and agility.

- Ability to work independently and know when and how to manage up effectively.

Experience
- At least three years of experience working in an executive assistant, administrative assistant, coordinator, or comparable role.
- Experience working with Google Suite, Slack, Zoom, Asana (or other project management tools), and Hubspot.
Compensation Expectations
We offer a competitive compensation package including base salary and comprehensive benefits. AERDF is a remote and flexible work environment.
Our national compensation range for a coordinator-level role is $57,540 (minimum) to $96,996 (maximum). However, compensation varies depending on location, experience, and qualifications.
