Job Posting Description
As an Administrative Assistant at Acelero Learning, you will play a vital role in supporting the daily operations of our Early Head Start program by providing high-quality administrative and clerical support to the Center Director and site leadership. This position is essential to ensuring smooth center operations, effective communication, and organized systems that allow educators and program leaders to focus on delivering exceptional services to children and families.
You’ll serve as a key point of contact for families, staff, and visitors, while maintaining confidentiality, accuracy, and professionalism in all administrative functions. Your Role
As an Administrative Assistant, you will support center leadership by coordinating administrative processes, maintaining records, and managing communication systems that keep the program running efficiently. You will work closely with the Center Director, program staff, and families to ensure information is organized, accessible, and shared accurately and on time. Your work will directly support compliance, operational excellence, and positive family engagement.
What You’ll Do
- Provide daily clerical and administrative support to the Center Director and program staff
- Greet and assist families, visitors, and stakeholders in a professional and welcoming manner
- Serve as a primary point of contact for parent inquiries and general office communication
- Design, draft, edit, and distribute correspondence, reports, forms, memos, and other documents
- Perform accurate data entry for ongoing and special projects, including database maintenance
- Manage office inventory, supplies, mail systems, and postal needs
- Coordinate record keeping, reporting, and document organization in compliance with program requirements
- Compile, edit, and distribute materials for newsletters and center communications
- Maintain confidentiality of records, correspondence, meetings, and discussions
- Prepare agendas, attend meetings, and produce timely and accurate meeting minutes
- Support fiscal and operational processes as assigned
- Develop and maintain organized systems to ensure information is accessible to staff
- Prioritize and manage multiple projects simultaneously while meeting deadlines
- Provide clerical support to additional administrative staff as needed
Additional Responsibilities (Administrative Assistant II level):
- Manage Pre-K counts database with accuracy and integrity
- Communicate information clearly through written and verbal correspondence
- Participate in assigned meetings, training, and program events
What You Bring
- High School Diploma or equivalent required; AA/AS in Business or related field preferred
- Prior experience in office administration or clerical support
- Professional demeanor and strong customer service skills
- Strong verbal and written communication abilities
- Demonstrated computer proficiency, including Google Workspace, basic data management systems, and internet navigation
- Ability to work independently, manage priorities, and meet deadlines
- Ability to interact effectively with individuals from diverse backgrounds
- Honest, dependable, and detail-oriented work style
- Bilingual Spanish preferred
- Valid driver’s license, reliable transportation, and ability to travel up to 10% as needed
- Ability to pass required physical examination and background checks
Physical Requirements
- Ability to sit for extended periods with occasional standing, bending, and reaching
- Ability to engage in repetitive hand and wrist movements (typing, writing)
- Ability to lift, carry, push, or pull up to 10 pounds
- Ability to work at close visual range for data entry, document preparation, and computer use
Work Environment
- Office-based work environment with moderate noise levels
- Use of standard office equipment including computers, phones, printers, copiers, and fax machines
- May require operating a motor vehicle during work duties
