The Operations Coordinator supports WorldStrides' educational travel programs by managing supplier bookings, logistics coordination, and operational support across a geographical region. This role is critical to ensuring high-quality tour experiences for hundreds of thousands of students annually.

Key Responsibilities: Manage and research supplier bookings for tours, communicate regularly with sales and product teams on itinerary progress, process invoices and follow up on payment discrepancies, and provide operational support to Tour Directors. Follow up with suppliers on post-tour issues and maintain cost and quality control standards.
Skills & Tools: Fluent French language ability required; strong organizational and project management skills; excellent communication and vendor relationship management abilities; attention to detail for invoice processing and logistics coordination; proactive problem-solving and research capabilities.
Qualifications: High school diploma or equivalent required; prior experience in operations, travel coordination, or customer service preferred. Must be legally authorized to work in the United States without sponsorship.

Job Description

The Operations Coordinator is responsible for booking, supporting our tours and working closely with our suppliers & Director of Operations for a given geographical region. Responsibilities include but are not limited to: Reserving and booking services, supervising the logistics of the tour, supplier relations, cost and quality control, providing operational support to our Tour Directors and checking and processing supplier payments.

Responsibilities

  • Manage supplier bookings
  • Proactively research new suppliers for current and new destinations
  • Communicate with sales representatives and product specialist on a regular basis to review itinerary progress /ask questions
  • Follow-up with suppliers (post-tour if there are issues after receiving client or Tour Leader’s
    evaluation).
  • Process invoices/Money Request and follow-up with suppliers on any inaccurate invoicing or
    credits based on group experience.
  • Provide all invoices and receipts to the accounting department.
  • Assist the Operations team with on road issues
  • Participate to Destination workshops to develop and maintain relationships with existing and
    potential suppliers.

Qualifications

  • Proficiency in French: Demonstrated advanced proficiency in both written and spoken French.
  • Proficiency in English: Demonstrated advanced proficiency in both written and spoken English.
  • Industry Experience: Extensive experience in the relevant industry, with a proven track record of success.
  • Multitasking Skills: Exceptional ability to manage multiple tasks and projects simultaneously, ensuring timely and efficient completion.
  • Collaborative Team Player: Strong team player with excellent interpersonal skills, capable of working effectively in diverse team environments.
  • Microsoft Office Expertise: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to create complex documents, spreadsheets, and presentations.
