Payroll & Accounting Specialist!

This is a hybrid role located at our home office in Tualatin, OR.

Position Overview:

This position serves the Accounting Department by executing a variety of accounting processes, payroll, corporate compliance, and corporate administrative functions with integrity. This role is a vital team player in maintaining the company’s financial health, ensuring people are paid correctly and on time, and meeting regulatory obligations.

Primary Responsibilities:

Accounting:

  • Perform accurate and timely month-end and year-end tasks, including balance sheet account reconciliations, journal entries, and supporting schedules.
  • Assist in monthly analysis of trending P&L expenses and flag possible issues.
  • Performs daily and monthly bank reconciliations. Ensures all bank transactions are recorded in the ERP.
  • Assist with annual external audit, review, and tax requests.
  • Back-up support for both AP and AR.

Payroll:

  • Reviews timesheets for completion and accuracy, including time off requests. Follows up with employees/supervisors on approvals.
  • Process semi-monthly payroll, including manual payroll checks, as needed.
  • Prepare all payroll-related journal entries and related payroll fees.
  • Perform reconciliation of payroll-related accounts.
  • Review all benefit invoices for accuracy. Follows up with providers to resolve any discrepancies.
  • Ensures new hire is compliant with State requirements and information entered into HRIS is accurate to offer letter.
  • Maintain payroll files and system up-to-date and accurate.

Corporate Compliance

  • Ensure sales tax returns are filed and paid accurately and timely with the appropriate states and authorities via third-party sales tax compliance software.
  • Ensure the Company is registered appropriately in the state it is required to file & pay sales & use tax and maintains a list of these states.
  • Communicates and provides updates as necessary.
  • Ensures the Company stays current and registered with all relevant state agencies and licensing boards, including the Secretary of State, contractors licensing board, and ensuring and working with insurance company to ensure named insured documents are obtained as needed.
  • Assist in preparing yearly Property Tax returns.

Qualifications

Position Must-Haves:

  • Proficient use of ERP, HRIS, and other accounting systems.Infor CSD, Avatax, Paycom, and Concur experience a plus.
  • Proficient with Excel at an intermediate to advanced level.
  • Thorough knowledge of accounting principles and application.
  • Able to research and analyze issues and problems and identify, propose, and implement solutions. 
  • Good judgment, discretion, and problem-solving skills
  • Able to work independently and effectively.
  • Very strong detail/accuracy orientation and strong organization skills.
  • Strong written and verbal communication skills.
  • Team-player and can-do attitude, flexible and cheerful in a rapid-growth, high-change environment.
  • Bachelor's degree in accounting or equivalent combination of coursework and experience.
  • 2-4 years of payroll and/or accounting experience.
