Macmillan is looking for an Jr. Payroll Associate who will be responsible for processing weekly payrolls and assisting in processing multi-state biweekly payrolls of 2,500 + employees in the US and Canada, utilizing the UKG system. Reporting to the Payroll Manager.
What you'll do:
- Payroll preparation including UKG maintenance, pay data entries, garnishment set up, upload earning/deductions files.
- Process weekly payroll for 2 pay groups in a timely manner and serve as backup for biweekly US and Canadian payrolls.
- Process off-cycle payrolls when necessary.
- Ensure that ACH files and check files were posted to HSBC bank after each payroll transmission.
- Verify employee withholding tax changes to ensure compliance with all federal, state and local jurisdictions.
- Assist in multi-state payroll tax maintenance.
- Develop and maintain pre-check payroll reports and procedures to process payroll in the most efficient and accurate way.
- Assist with internal and external payroll audits.
- Open cases with UKG and follow up to ensure that discrepancies are resolved.
- Work collaboratively with HR, Payroll and other teams.
- Manage Payroll inbox and respond to employee inquires.
- Check new hire information ensure employee taxes, direct deposit information and setup is correct.
- Sort through mail (either physical or scanned copies) and open UKG cases as needed.
- Assist Payroll Manager with different projects as needed.
- The nature of this role will occasionally require availability to work on some holidays, office closure days, and weekends should a payroll processing day fall on one of these days.

Ideal experience:
- Google product experience.
- Intermediate Microsoft Excel experience required.
- 2+ years of Payroll Processing.
- UKG experience.
- Bachelor’s Degree or equivalent experience.
This role will have an annual salary of $55,000 - $60,000.
