THE ROLE
SchooKit is seeking a highly organized, efficient, and tech-savvy Coordinator, Operations to provide essential clerical and administrative support for our business and project operations. The Coordinator will be responsible for maintaining records and information across the Operations team, coordinating routine project logistics, and ensuring that all necessary tools and resources are readily available to employees and contractors. This role reports to the Director, Operations, and is an integral part of the Operations team. The successful candidate will be a dependable team player with a strong focus on administrative tasks, possess the ability to manage multiple tasks simultaneously, and have experience in roles that emphasize accuracy and attention to detail. The ideal candidate will work independently, demonstrate exceptional organizational skills, and excel in handling small, detail-oriented assignments.
This is a full-time, non-exempt position, including benefits. This position can be based from a home office anywhere in the U.S. The schedule for this role is Monday - Friday, 9:00 am - 5:00 pm ET. Expected travel time is 10 - 15% for team retreats and project-related travel as needed, including occasional weekend travel.
RESPONSIBILITIES
Business Operations (40 - 50%)
- Assist the Operations Team in creating and maintaining standard operating procedures, work instructions, and resources for effective use of operational data and systems
- Develop and manage simple templates/forms in Google Workspace, Monday.com, and other platforms to support business operations, business development, and client projects
- Regularly update and maintain project and operational data in Monday.com, ensuring records are accurate and complete
- Coordinate with suppliers for business and project operations, including tech support and corporate supply accounts
- Provide tech and operational support during employee onboarding, offboarding, and ongoing work, including account setup and management of tech licenses
- Serve as the primary contact for inquiries related to SchoolKit’s technology accounts, including Zoom, Gmail, and other administrative tools
Project Operations (40 - 50%)
- Provide logistical and operational support on projects or internal events, including purchasing materials, scheduling trainings or events, and maintaining registration and tracking systems
- Assist the Senior Manager, Project Operations with virtual and onsite technical support, including managing tech platforms like Zoom and Google Docs, and supporting other platform implementations
- Complete administrative tasks for project launch and closeout, such as setting up templates and managing projects in our contractor management system, TalentDesk
- Ensure external systems are updated with relevant project information as needed
- Collaborate with the Senior Manager, Project Operations to design and implement systems, tools, and templates for onsite and remote project logistics
- Work closely with project team members to address operational challenges
- Participate in project team and client meetings as needed
- Communicate with contractors to resolve data discrepancies in project-related information
REQUIRED EXPERIENCE
- 3+ years work experience in an administrative or operations-focused role that demonstrates an ability to work across departments and workstreams
- Proven ability to organize, prioritize, track, and manage tasks from multiple work streams concurrently
- An Associates or Bachelor’s degree or equivalent experience
- Experience in K-12 education at a school, district, non-profit, or partner organization is helpful, but not required
REQUIRED QUALITIES
- Demonstrate superb attention to detail: skilled at identifying, recording, and following-up on complex action items.
- Tech-savvy, with the capability to develop expertise in new technologies
- Approach the work with a flexible, innovative, and service-oriented perspective
- Strong written and verbal communication skills for use with a variety of stakeholders
- Proficiency using Google Apps with demonstrated experience maintaining GoogleSheets
- Proficiency using Zoom
- Experience with Monday.com or similar project management software, required
COMPENSATION
The compensation for this position will be between $26.44 - 31.25 per hour and is dependent on experience.
