Xello seeks a detail-oriented Accounts Payable & Systems Analyst to join their finance team, focusing on vendor management, process automation, and financial reporting. This role plays a key part in enhancing AP efficiency and implementing systems improvements within a dynamic, entrepreneurial organization.

Key Responsibilities: Process and reconcile vendor invoices and payments, manage employee expense claims, perform credit card reconciliations, and generate monthly financial reports. Identify automation opportunities in AP processes, collaborate cross-functionally on workflow improvements, and assist with month-end and year-end closing activities.
Skills & Tools: Strong NetSuite proficiency with advanced Excel skills, combined with excellent organizational, analytical, and problem-solving abilities. Demonstrated capability to identify system inefficiencies, implement automation solutions, and manage multiple priorities while communicating effectively across teams.
Qualifications: Proven experience as an AP Analyst or similar finance role with solid understanding of AP processes, reporting, and reconciliation. Familiarity with Canadian GAAP, finance-related reporting, and process improvement/system automation is preferred.

Who are you?

You are a detail-oriented and proactive Accounts Payable (AP) & Systems Analyst seeking to join a finance team in an entrepreneurial organization. You have experience managing vendor invoices, payments, expense claims, and credit card reconciliations while contributing to regular reporting and analysis. With experience in NetSuite, you’re ready to play a key role in automating manual processes and improving the overall efficiency of the AP function in a dynamic finance environment.

What you’ll do…

  • Process, review, and reconcile vendor invoices and payments accurately and on time
  • Handle employee expense claims, ensuring compliance with company policies and guidelines and timely payment and reconciliation against the accounting software
  • Perform credit card reconciliations and resolve discrepancies promptly
  • Generate and analyze monthly financial reports, such as monthly operating expense analysis, against the budget under various income statement captions related to Operating Expenses and Cost of Goods Sold
  • Identify opportunities to automate and streamline AP processes, leveraging NetSuite and other tools 
  • Collaborate with cross-functional teams to enhance workflows and systems, such as the purchase order process
  • Maintain and update vendor records to ensure accuracy and compliance
  • Assist in month-end and year-end closing activities related to AP, such as AP Aging reconciliations, accruals, royalty calculations, and intercompany entries

What we’re looking for…

  • Proven experience as an AP Analyst or similar role in finance
  • Strong proficiency in NetSuite and familiarity with its AP functionalities
  • Solid understanding of AP processes, reporting, and reconciliation
  • Advanced Excel skills, including working with large datasets and creating reports
  • A self-starter with the ability to identify system inefficiencies and implement automation solutions
  • Excellent organizational and time management skills with a keen eye for detail
  • Excellent problem-solving and analytical skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong communication skills and the ability to collaborate across teams

Nice to have (optional)...

  • Experience in process improvement and system automation
  • Knowledge of Canadian GAAP and related practices
  • Background in finance-related reporting and analysis such as detailed operating expense variance analysis against the budget on a monthly basis
