The Administrative Assistant of Sales plays a vital role in supporting the sales team while ensuring the efficient operation and vibrant culture of the office. This position involves managing travel, calendars, and meeting logistics for the sales directors and also encompasses office management duties such as overseeing catering, shipping, and reception services. Additionally, the Administrative Assistant leads cultural initiatives by planning and hosting engaging events to enhance team morale and facilitate a welcoming environment for all employees, including new hires. Through these diverse responsibilities, the Administrative Assistant significantly contributes to fostering a dynamic and collaborative workplace.
Responsibilities:
- Provide assistant duties to the sales leadership team including the organization of travel and accommodations, calendar management, and secretarial support.
- Organize, schedule, and attend meetings as necessary. May also be asked to take notes / meeting minutes.
- In coordination with Snr. Director of HR Operations & Services, coordinate and execute special office events that enhance company culture, including attending global culture meetings and keeping employees informed of events and activities happening company wide.
- Receive, set up, and break down catered meals for the office as well as manage shipping needs and maintain essential supplies in coordination with the HR Coordinator, fostering an efficient workplace environment.
- Support with keeping inventory and stocking of office snacks, ensuring a well-stocked and organized pantry for employees, this includes filling up the coffee machine with coffee, emptying the bucket in the machine, receiving the vendor to stock up supplies etc.
- Oversee reception duties, including greeting and assisting any office visitors including executive visitors, vendors, and contractors, ensuring a positive and hospitable office atmosphere for all guests.
- Greet and assist new employees on their first days, helping them acclimate to the office environment.
- Stay in tight communication with employees of any requests, support they need and coordinate with the appropriate executives on these points as needed.
Qualifications:
- High School Diploma
- 1-3 years of experience in an administrative or support role, preferably within a sales environment or a fast-paced office setting
- Exposure to organizing events or similar cultural initiatives is a plus
- General computer skills and basic technical proficiency
- Experience with Salesforce preferred
- Proficiency with Google Workspace and Microsoft office
- Excellent communication skills with a professional approach
- Experience with Gmail and Google Docs
- Experience with MS Office (Word and Excel)
- Experience with web browsers (Chrome, Internet Explorer, etc.)
- Excellent verbal and written communications
