Role Snapshot

The Project Coordinator supports the Global Collaborations Department at the Exploratorium by providing administrative and logistical support for diverse projects and activities. This role works closely with project and department leadership to ensure projects stay on track and achieve organizational goals for impact, learning, and economics.

Key Responsibilities: Key responsibilities include coordinating project logistics, supporting project leads with administrative tasks, managing expenses and Salesforce reporting, coordinating workshops and conferences, and serving as an internal/external liaison. Additional duties include managing exhibit service requests, coordinating transportation and lodging, and assisting with hiring and training of team members.
Skills & Tools: Required skills include excellent verbal and written communication with service orientation, strong organizational and detail-oriented abilities, problem-solving capabilities, and experience with budgets and basic accounting. Knowledge of Salesforce administration, database management (Basecamp, Google Drive), and ability to work independently and cross-culturally are essential.
Qualifications: Candidates must hold a BA/BS degree and have three years of administrative experience, with specific experience in project coordination in non-profit or educational settings. Ability to travel and work well cross-culturally is required.

SUMMARY

The Exploratorium’s Global Collaborations Department is a dynamic team that works with partners and projects at home and around the world to achieve Exploratorium goals for impact, economics and learning.

The Project Coordinator works closely with project and department leadership to provide administrative support, logistics and coordination for diverse activities to include planning, content development, document production, workshop facilitation, and other activities. This position reports to the Associate Director of Global Collaborations.

ESSENTIAL FUNCTIONS

Project Support

  • Coordinate and support current projects and associated teams to keep work on track and achieve goals for impact, learning and economics.
  • Support Project Leads, Managers and Directors with project logistics and administrative tasks.
  • Assist with content research, materials management, and documentation of project deliverables and portfolio strategy.
  • Serve as an internal and external liaison for Global Collaborations projects and related inquiries.

Administrative Support

  • Manage exhibit service/repair requests for clients
  • Coordinate planning and logistics for conferences, workshops and meetings.
  • Coordinate transportation and lodging for staff and/or clients as needed.
  • Code and monitor project and department expenses; ensure correct coding of all transactions.
  • Manage reporting and processes in Salesforce for Global Collaborations
  • Populate, maintain and generate reports from databases (Basecamp, Salesforce, Google drive etc.)
  • Participate in the hiring and training of new team members.
  • Additional duties as assigned.

MINIMUM QUALIFICATIONS

  • BA/BS degree and three years administrative experience OR equivalent combination of education and work experience
  • Experience in project coordination, particularly in non-profit or educational setting
  • Excellent interpersonal communication skills, both verbal and written, with service orientation
  • Highly organized and detail-oriented, problem solver
  • Ability to work well both independently and as part of a team
  • Ability to travel and work well cross-culturally
  • Experience with budgets, expenses and simple accounting
  • Experience coordinating logistics for workshops or conferences
  • Knowledge of Salesforce administration
