Handle communications, draft documents and presentations, coordinate events and offsites, prepare meeting materials, maintain confidential records, and support board meetings and executive initiatives.
Skills & Tools: Exceptional organizational and writing skills, attention to detail, discretion, and ability to work in fast-paced environments. Requires proactive strategic thinking, relationship-building capabilities, strong communication, integrity, and proficiency with executive-level business tools and software.
Qualifications: Bachelor's degree in business administration or related field with 5+ years of executive assistant or similar administrative support experience. Demonstrated experience supporting C-suite executives, strong understanding of corporate governance, and proven ability to handle sensitive and confidential information.
Location: In-Person - Reston, WA
Compensation: $75K–$105K/yr (estimated)

About the Opportunity

We are currently seeking a seasoned Executive Assistant to directly support our Chief Financial Officer. This is a high impact role where you will be responsible for providing comprehensive administrative and executive support and play a crucial role in ensuring our Chief Financial Officer day-to-day activities run smoothly. This position requires exceptional organizational & writing skills, attention to detail, discretion, and the ability to work in a fast-paced and dynamic environment. Intuitiveness, maturity, adaptability, critical thinking, and professionalism are crucial to being successful working within Ellucian’s high energy executive team environment. The successful candidate will be a proactive, strategic thinker who can anticipate needs, masterfully connect dots, and has a keen eye for identifying & optimizing process efficiencies & enhancements while also being comfortable interfacing with high profile business stakeholders such as the Ellucian executive team and board of directors, business partners, and Ellucian’s broader leadership team, always maintaining the highest level of tact, poise and confidentiality.  

Where you will make an impact 

  • Calendar Management: Proactively manage the Chief Financial Officer’s calendar, schedule meetings, and coordinate appointments, ensuring optimal time allocation and prioritization. 
  • Travel Arrangements: Plan and coordinate travel arrangements, including flights, accommodations, ground transportation, and other logistics, considering the Chief Financial Officer’s preferences and business requirements. 
  • Communication and Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence on behalf of the Chief Financial Officer. Draft and prepare documents, presentations, and reports as needed. 
  • Event Coordination: Prepare meeting agendas, materials, and presentations for events, offsites/onsites, all hands, & customer visits. Attend meetings, take accurate minutes, and follow up on action items to ensure timely completion. 
  • Relationship Management: Maintain positive relationships with internal and external stakeholders, including clients, partners, board members, and employees. Facilitate effective communication and act as a liaison between the Chief Financial Officer and various stakeholders. 
  • Information Management: Organize and maintain confidential information, documents, and records. Implement effective document management systems and ensure easy access to relevant information. 
  • Special Projects: Support the Chief Financial Officer in special projects, strategic initiatives, and ad-hoc assignments. Conduct research, compile data, and provide insights to aid decision-making.  

What you will bring 

  • 10+ years of experience providing direct support to C-level executives in a globally matrixed environment. 
  • Excellent organizational and time management skills with the ability to prioritize and multitask effectively. 
  • Demonstrated experience interfacing & supporting at the Board level. 
  • Exceptional written and verbal communication skills 
  • Proficiency in productivity tools such as Microsoft Office (Word, Excel, PowerPoint), email and calendar applications. 
  • Ability to handle sensitive and confidential information with utmost discretion. 
  • Strong attention to detail and accuracy in all aspects of work. 
  • Flexibility to adapt to changing priorities and work effectively under pressure. 
  • Excellent problem-solving and decision-making abilities. 
  • Professional demeanor, with strong interpersonal skills and the ability to build relationships at all levels throughout the organization. 
  • Strong sense of ownership and accountability for tasks and projects.
