Content Area or Department Brief Description:
Work in Early Childhood Intervention, Mental Health, and Inclusion includes training, technical assistance, and consultation to build the capacity of systems and professionals to support healthy social, emotional, and developmental outcomes; promote participation and inclusion; and foster child and family resiliency. This area supports state and local programs that work with families of young children with disabilities, developmental delays, or at risk for developmental delays to promote and support overall development and to promote and address infant-family and early childhood mental health, particularly in under-served and vulnerable populations.
Position Overview:
The Program Assistant II will support the Program Manager and oversee office organization, processes, and maintenance. This individual will be well-organized, resourceful, and familiar with Microsoft Word, Excel, and PowerPoint. The ideal candidate will also have excellent interpersonal communication skills, a high tolerance for ambiguity, changing work priorities and deadlines, and a willingness to take on responsibilities while prioritizing work on multiple projects. The Program Assistant II position requires the candidate to work in the San Marcos, CA office.
Responsibilities:
- Oversee Office Organization, Processes & Maintenance,
- Support Program Manager with timesheet & travel review, processing & tracking,
- Support Events with coordination, communication, planning, invoicing & tracking,
- Coordinate large mailings/delivery of surveys, curricula, and other materials to schools and outside,
- Assist with the creation of presentation materials {packets, presentations, binders, etc.},
- Process check requests, reimbursements & tracking {Purchase orders, Vendors, etc.},
- Support Trainer & Coach Authorized Process (tracking, invoicing, processing payments, providing access to updated trainer materials),
- Provide word processing (Microsoft Word} support, including proofreading, formatting, copy editing, composition of letters or other writing, as needed,
- Provide spreadsheet processing (Microsoft Excel} support, including entering data into spreadsheets and forms, developing and formatting tables and charts, and
- Interact with the public via phone, in person, and electronically.
Qualifications:
- Excellent Microsoft Word, Excel, and PowerPoint skills,
- Ability to format documents such as reports and brochures,
- Ability to quickly adapt to new computer programs and software,
- Ability to navigate the Web - locate information and download,
- Proficiency with various email programs and protocols,
- Excellent interpersonal communication skills and ability to work as a team member,
- Demonstrated ability to coordinate work around multiple tasks and multiple deadlines with a variety of different staff members,
- Ability to follow through on the completion of tasks and responsibilities,
- Strong organization skills,
- Resourcefulness and careful attention to detail, as well as
- High tolerance for ambiguity, changing work priorities and deadlines, and a willingness to take on responsibilities while prioritizing work on multiple projects.

SALARY AND BENEFITS:
The full salary range for this position, WestEd level 8, is $70,400 to $105,600, but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $70,400 to $88,000. The actual offer takes into account multiple factors, including but not limited to education, experience, internal equity, and other organizational needs.
In addition to the base salary, benefits include:
· 15% contribution toward retirement effective day 1 of employment

· All health/welfare benefits are effective the first of the month following the hire date
· PTO: 3 weeks' vacation (increases to 4 weeks beginning the 4th year of employment), paid holidays, and 12 days paid sick leave per year
