About the Department:
The Office of the University Registrar actively supports and leads change while serving as a strategic partner to those the Office serves, focusing on the ways to become more efficient, effective, and improving services to university constituents in meeting the needs of an evolving higher educational environment. The Office of the University Registrar is one of several central units under the authority of the Office of the Provost and reports to the Vice Provost of Academic Affairs.
About the Position:
The Assistant Director of Information Technology reports to the Director of Registrar's Information Technology. The Assistant Director is a member of the Registrar?s leadership team and is expected to be an effective manager and active participant in improving services throughout the University. The Assistant Director is responsible for oversight, planning, leading, and managing the Information Technology team, validating the integrity of student-related data, providing stewardship for the Student Information System and affiliated applications, and ensuring that team deliverables are produced in an accurate and timely manner. The Assistant Director must confirm that appropriate processes and procedures are in place in order to accomplish those tasks. The position leads and participates in departmental and university-wide efforts to continuously improve policies, processes, and services in support of the university?s goals and initiatives to provide the best possible constituent service experience, especially those related to student enrollment, retention, and graduation.
Responsibilities:
Manage Registrar's Information Technology Team
- Supervises 5.5 FTE Information Technology team;
- Directs the team which processes data/report requests, creates custom procedures, manages student-system security, generates Banner Communication messages (BCM), and provides general support for other teams in the Office of the University Registrar;
- Coordinates scheduling of leave. Oversees training for new staff members. Encourages staff to work collaboratively with other Registrar and University staff to provide excellent customer service;
- Manages and coaches direct reports in the Office of the University Registrar;
- Assigns resources to projects and initiatives, sets work priorities and monitors progress toward completion;
- Regularly evaluates performance and individual development of staff;
- Addresses training needs and provides career-development opportunities such as workshops, seminars, and similar programs. Verifies that staff complete required training;
- Provides staff support for business process documentation and production calendars; and
- Sets the vision for the Information Technology team, including the reorganization and/or reassignment of duties and work, streamlining processes when necessary.
Data Integrity and Stewardship
- Responsible for stewardship of records in the student information system;
- Promotes quality assurance controls in the Office of the University Registrar that support data integrity;
- Analyzes student records specifically relating to multiple PIDMs. Coordinates with other Banner functional departments, as necessary, to determine the appropriate course of action to resolve the redundancy. Develops specific instructions for ITS to move, delete, or modify records in the Oracle database utilizing SQL and the Multiple PIDM Management System (MPMS). Maintains a searchable record of actions taken in regard to each PIDM case;
- Conducts annual Banner Student security audit;
- Serves as backup for Registrar?s Banner Security Officer (BSO);
- Serves as a student information system expert on a variety of university committees as requested;
- Applies a broad knowledge of the student lifecycle across Banner and associated applications;
- Participates in testing software upgrades and improvements for Banner and other student-related applications.
Support Director of Information Technology
- Supports the Director of Information Technology and University Registrar with office operations while exercising sound judgement, diplomacy, and confidentiality when interacting with constituents;
- Collaborates with the OUR leadership team to support the University operational excellence and strategic planning goals;
- Works cooperatively with the IT Director to set goals, expectations and objectives that support the department and university mission. Uses these as guidelines to prioritize competing projects;
- Participates in the overall planning of activities within the Office of the University Registrar, developing, recommending and implementing major policy and procedural changes;
- Represents the Registrar?s Office in meetings;
- Assists the Director of Information Technology in managing and updating procedures manuals and production calendars;
- Serves as back-up to the Director of Information Technology as needed;
- Provides cross-functional assistance in other Registrar?s Office work areas as needed or requested by the Director of Information Technology; and
- Engages in cross-training sessions with Information Technology staff to provide backup support during absences and busy periods.
General Responsibilities
- Performs various other duties where the work is similar, related, or a logical assignment to the position; and
- Provides general assistance to the department as requested and needed. The omission of specific duties does not preclude the Director of Information Technology and University Registrar from assigning duties that are related to the position.?
Required Qualifications:
- Bachelor?s degree in related field or the equivalent combination of education and experience;
- Prior experience in a leadership or supervisory role;
- Experience in Information Technology or related field;
- Experience in making independent decisions related to technical and operational aspects of IT systems;
- Strong project management abilities, including task prioritization and resource management;
- Strong analytical skills;
- Demonstrated skill in providing customer service;
- Ability to perform work with substantial attention to detail;
- Ability to communicate well both verbally and in writing;?
- Ability to exercise flexibility and adaptability to changing priorities and technologies;
- Demonstrated initiative, problem-solving skills, and strategic thinking;?and
- Familiarity with SQL and Oracle databases.
Preferred Qualifications:
- Master?s degree in related field;
- Higher education experience;
- Experience with Banner Student Module, Applications Manager/AppWorx, SQL Developer, and Team Dynamix;
- Experience in effectively communicating technical concepts to non-technical stakeholders, facilitating collaboration, and creating comprehensive reports; and
- SQL Developer, Banner Student Module.
