Role Snapshot
Sales Operations Specialist at SmartLab Learning owns the systems, processes, and data that move customer deals from signed proposal to delivered product. This role serves as the operational backbone for the revenue team, connecting Sales, Customer Success, and Fulfillment.
Job Description
SmartLab Learning builds hands-on STEM learning environments for K-12 schools across the country. The Sales Operations Specialist is a key operational role that sits across Sales, Customer Success, and Fulfillment. This candidate will own the systems, processes, and data that move a SmartLab from signed proposal to delivered product.
This is a role for someone who has done real sales operations work: built and maintained Salesforce workflows, owned reporting and dashboards, managed quote-to-cash processes, and served as the operational backbone for a revenue team. You will work closely with a high-standards leader in a fast-moving environment where priorities shift and good judgment matters. If you have built processes from scratch, cleaned up data, and kept a sales team running smoothly behind the scenes, you will find meaningful work here.
This is a hybrid position based out of our Longmont, Colorado warehouse. Expect roughly three days per week on-site, with flexibility to work remotely the rest of the time. On-site days occasionally include hands-on fulfillment support in the warehouse.
Duties and Responsibilities
Proposals, Pricing, and Configuration
- Own the production of customer proposals, product configurations, and SmartLab pricing in support of Sales and Customer Success
- Maintain and improve internal configuration tools and documentation used to generate pricing, deliverables, and lab-specific documents
- Ensure proposals and quotes are accurate, timely, and consistent; always catching errors before they reach the customer
- Process and manage purchase orders across multiple systems, resolving discrepancies with internal teams and vendors
Salesforce and Revenue Operations
- Serve as the day-to-day Salesforce operator for the revenue team, maintain data integrity, support object configuration, build and refine workflows, and troubleshoot issues across the pre-sale to post-sale cycle
- Develop and maintain working knowledge of Salesforce Price Book and quoting objects to support testing, improvements, and user questions
- Refine and manage approval workflows for discounts, exceptions, and non-standard deal terms
- Provide operational input and testing support for ERP and quote-to-cash tool changes, and keep process documentation current
Reporting and Dashboards
- Build and maintain recurring reports and dashboards in Salesforce and Excel for Sales, Business Development, Customer Success, Integrated Operations, and Fulfillment
- Monitor data quality across key systems and work with stakeholders to resolve issues before they affect reporting or order accuracy
Sales Enablement and Cross-Functional Support
- Create and maintain training materials and quick-reference guides for proposal tools, Salesforce processes, and dashboards
- Act as the operations connector across Sales, Business Development, Customer Success, Integrated Operations, and Fulfillment; keeping handoffs clean across the quote-to-cash journey
- Coordinate cross-functional inputs for RFP responses and help ensure submissions are accurate and compliant
Fulfillment and On-Site Warehouse Support
- Provide periodic on-site support including picking, packing, shipping preparation, and basic inventory tasks
- Partner with warehouse and fulfillment team members to support accurate, on-time delivery of SmartLab and catalog orders
- Occasional lifting and staging of product up to 30 to 40 pounds in accordance with safety guidelines
Experience
- 3 or more years in sales operations, revenue operations, or a closely related role
- Hands-on Salesforce experience working with objects, fields, workflows, validation rules, or reporting
- Demonstrated experience supporting proposals, pricing, product configuration, RFP responses, or order processing
- Familiarity with ERP or MRP systems is a plus
- Proficiency with Microsoft 365, particularly Excel, Outlook, and Teams
- Background in K-12 education or EdTech is helpful but not required
- Bachelor's degree preferred, or equivalent experience
Skills and Abilities
- You understand how sales operations connects to the broader quote-to-cash cycle and can work effectively across revenue, operations, and fulfillment teams
- You build reliable reports and dashboards and care about data accuracy upstream, not just the output
- You are analytical -- you spot process gaps and data issues and you propose practical fixes
- You document your work clearly and can turn a messy process into a guide someone else can follow
- You manage competing priorities well and do not need perfect information to move forward
- You communicate clearly in writing and in conversation, including with non-technical stakeholders
- You can occasionally lift and move materials up to 30 to 40 pounds
- Health Care Plan (Medical, Dental & Vision)
- Retirement Plan (401k)
- Life Insurance (Basic, Voluntary & AD&D)
- Paid Time Off (Vacation, Personal & Public Holidays)
- Family Leave (Maternity, Paternity)
- Salary range: $62,000-$74,000
