District Data Entry Specialist responsible for creating and validating school events in the GoFan HQ platform, ensuring accurate event details and timely processing to support high school athletic programs. Key Responsibilities: Create and validate events manually in GoFan HQ based on school specifications, process bulk CSV uploads, and maintain a queue of incoming requests with same-day processing priority. Monitor data accuracy, communicate with Customer Success and Support teams on clarifications, and maintain daily logs of completed entries and backlog status.
Skills & Tools: Exceptional attention to detail with proficiency in web-based platforms, Google Sheets/Excel, CSV file preparation, and familiarity with AI tools for data interpretation. Strong organizational skills, self-directed work habits, and clear written communication ability are essential for managing high-volume requests independently.
Qualifications: No specific education requirement stated; prior experience with GoFan HQ or similar event management systems preferred but not required. Strong data entry background and demonstrated ability to maintain accuracy under volume are expected.

Job Description

In this role, you can expect to:
Event Entry:
• Create events manually in GoFan HQ based on specifications provided by schools via Customer Success and Support teams.
• Process bulk event uploads via CSV import when applicable.
• Validate all event details (dates, times, sport or activity type, ticketing structure, pricing, and event name) against school requirements prior to submission.
• Correct and resubmit entries promptly based on feedback from internal teams.
Quality Assurance:
• Self-review every entry for completeness and accuracy before finalizing.
• Adhere to established data entry standards and formatting guidelines.
• Identify and resolve discrepancies or gaps in request information before proceeding with entry.
Request Coordination:
• Monitor and manage an ongoing queue of incoming event entry requests throughout the workday.
• Communicate promptly with Customer Success and Support teams when requests are unclear or missing required details.
• Prioritize same-day processing to ensure school events are live when needed.
Tracking and Accountability:
• Maintain a daily log of completed entries and open requests.
• Proactively surface any backlog risks or volume spikes to your supervisor.

Attention to Detail:
• Exceptional accuracy in data entry with a zero-tolerance mindset for errors that impact school revenue or community events.
• Consistent quality and care even across high-volume, repetitive tasks.
Organizational Skills:
• Ability to manage a queue of incoming requests and process them in a timely, systematic manner.
• Self-directed with strong time management skills to work independently within a defined part-time schedule.
Technical Proficiency:
• Comfortable working in web-based platforms; prior experience with GoFan HQ or similar event management tools is a plus.
• Familiarity with CSV file preparation and data import processes preferred.
• Proficiency in Google Sheets or Microsoft Excel for organizing and formatting data.
• Comfort using AI tools (e.g., ChatGPT, Claude, or similar) to efficiently interpret and process complex or inconsistently formatted schedules arriving from schools.
Communication Skills:
• Clear, timely written communication with internal teams when clarification is needed on a request.
• Comfort asking questions rather than making assumptions, because accuracy always comes first.
