The Office and Attendance Manager is a school-based administrative role responsible for maintaining efficient front office operations, managing student attendance systems, and ensuring campus security at a KIPP school in Kansas City. This position serves as the first point of contact for families and visitors while supporting critical attendance and enrollment data accuracy for state funding.

Key Responsibilities: Day-to-day duties include managing the front desk, handling phone communications, visitor screening and badge management using the Raptor system, maintaining office supplies and equipment, and processing student records and attendance data. Additional responsibilities include coordinating school events, supporting emergency preparedness drills, distributing uniforms, processing mail/shipments, and communicating family information to relevant staff.
Skills & Tools: Required skills include strong customer service and communication abilities, proficiency with student information systems (SIS) and data entry, experience with visitor management and security protocols, organizational and time management capabilities, and ability to handle crisis situations calmly and professionally.
Qualifications: Typically requires a high school diploma or equivalent with 1-2 years of administrative or office management experience, preferably in an educational or school setting. Experience with school operations, attendance systems, or visitor management systems is highly valued.

Job Description

Position Overview:

The Office and Attendance Manager is a school-based role responsible for creating a welcoming and efficient environment. The Office and Attendance Manager oversees the daily administrative operations of the school front office and manages the student attendance system. This position provides exceptional customer service to all members of the school community, ensuring a smooth experience through a high-stakes blend of customer service, data entry, and crisis management. The Office and Attendance Manager collaborates with the Director of Operations to ensure the office runs efficiently, the campus is secure, and student attendance data is 100% accurate for state funding and safety purposes.

Key Responsibilities: 

Office Administration:

  • Ensure the main office is neat, organized, well-stocked with parent-facing materials, and fosters a welcoming atmosphere.
  • Ensure the front desk is attended at all times and provide clear notifications to visitors when the space is temporarily vacant.
  • Manage expectations of parents and visitors, scheduling appointments with leadership as needed.
  • Manage inbound and outbound calls, create internal announcements, and answer phones, redirecting inquiries and relaying messages to staff efficiently.
  • Maintain office supplies, process orders, and pass along requests. Ensure office equipment (copiers, fax machines, postage meters) function properly.
  • Assist with special projects to improve school operations.

Visitor Management:

  • Be the first line of defense for ensuring school safety is a top priority
  • Require government-issued identification from all visitors
  • Conduct instant screenings with IDs using the Raptor system
  • Ensure all guests and visitors are properly signed into the visitors’ log
  • Print high visibility sticker badges with appropriate information (photo, name, destination, and timestamp)
  • Ensure all guests return to the front office to properly sign out and return badges
  • Conduct background checks for all school volunteers (school support, school events, field trips, etc.)

Attendance & Student Support:

  • Participate in key steps outlined in the attendance playbook as directed by the Director of Operations (DO)  and the Managing Director of Operations.
  • Implement requested student record changes within the school's student information system (SIS), following the Data Team’s guidance.
  • Assist in processing transcript requests or deliveries as instructed by the SOM.
  • Collaborate with the data and academic teams to prepare and distribute student report cards.
  • Assist with tasks related to student health needs, following established protocols.
  • Communicate key information from families to designated personnel (SPED, ELL, Nurse, Support Staff) as instructed by the DO.

Event & Logistics Support:

  • Assist with coordinating school events as directed by the DO.
  • Communicate transportation changes or requests directly with DO as instructed.
  • Assist with emergency preparedness efforts as directed by the DO, which may include participating in drills and training sessions.
  • Collaborate with security personnel to enforce and maintain a safe learning environment for all.

Additional Responsibilities:

  • Assist with emergency preparedness efforts as directed by the DO.
  • Assist in the scheduling of monthly safety drills, inspections, and training.
  • Collaborate with security personnel to enforce and maintain a safe learning environment for all.
  • Maintain the supply of uniforms and distribute them to families upon request.
  • Assist in the processing, production, and distribution of memos, newsletters, etc.
  • Submit all cash collections to the designated system (e.g., Square) as instructed by the Managing Director of Operations.
  • Receive, distribute, and prepare incoming/outgoing mail & shipments.
  • Respond to and support school level staff questions and concerns as appropriate.
  • Assist in the planning and coordination of student and staff travel and events.
