We’re seeking a Workplace Experience Specialist to support the day-to-day operations of one of our BetterUp Hubs—creating a space that promotes connection, collaboration, and energy. In this role, you’ll ensure your Hub is safe, efficient, and welcoming, contributing to an environment where employees can do their best work. This is a hands-on, detail-oriented role that sits at the heart of delivering an exceptional workplace experience.
This role includes operational ownership of your assigned Hub(s), whether a single location or a pair of hubs within the same region. You’ll collaborate closely with Workplace Experience teammates across our global footprint to ensure alignment, consistency, and shared best practices. What you’ll do:
Hub Operations
- Manage daily operations of your assigned Hub, maintaining an efficient, safe, clean, and engaging environment.
- Serve as the primary on-site contact for workplace requests, issue resolution, and space readiness.
- Support local executives or leaders as needed to ensure seamless onsite experiences.
AI-Enabled Workplace Operations
- Leverage AI tools to streamline daily workflows—task management, ticket triage, vendor communication, scheduling, and documentation.
- Use AI to draft and maintain SOPs, process guides, space readiness checklists, and employee communications.
- Identify opportunities to automate repetitive or manual tasks and partner with the Workplace Experience team to implement improvements.
- Utilize AI-enabled analytics to summarize operational trends and prepare insights for the broader team.
- Support adoption of AI-powered tools across the assigned hub office (e.g., visitor management, room/desk booking, space utilization reporting).
- Participate in BetterUp’s AI upskilling programs and actively apply AI learnings to improve workplace operations.
Access, Security & Safety (Hub Focus)
- Partner with IT to administer badge access and implement hub-specific security protocols.
- Conduct periodic safety checks and support ergonomic or accommodation needs in partnership with HR and IT.
- Ensure Austin remains compliant with local safety regulations and internal company standards.
Vendor & Service Coordination
- Coordinate hub vendors (maintenance, cleaning, office supplies, food service), ensuring service quality and timely issue resolution.
- Support scheduling, service verification, and invoice processing.
- Use AI tools to track service performance and create summaries for the Workplace Experience team.
Space Planning & Readiness
- Support meeting room setup, desk configuration, and general space maintenance to ensure a seamless hybrid work experience.
- Use AI-enabled tools to gather and share space utilization insights.
Workplace Enhancements
- Assist in planning and delivering local programs, events, and amenities that drive engagement and community.
- Gather employee feedback—supported by AI sentiment tools when appropriate—to shape improvements.
Cross-Hub Coordination (Support Role)
- Collaborate with Workplace Experience teammates across Austin, SF, NYC, Arlington, London, and Amsterdam to share updates, best practices, and improvements.
- Maintain alignment with company-wide workplace standards while focusing execution locally.
Project & Move Support
- Assist with Austin-based moves, improvements, vendor walkthroughs, and space updates.
- Gather data, compile AI-assisted summaries, and prepare recommendations to support Workplace Experience projects.
ESG & Compliance Support
- Contribute to Austin-specific ESG efforts, such as waste reduction and sustainability initiatives.
- Assist Legal and ESG partners with local workplace documentation or data collection needs.

- Proficiency with Google Suite; familiarity with Envoy and workplace tech a plus.
- Ability to be onsite daily in Austin; occasional travel for Workplace team onsites.

At BetterUp, we compensate our employees fairly for their work. Base salary is determined by job-related experience, education/training, residence location, as well as market indicators. The range below is representative of base salary only and does not include equity, sales bonus plans (when applicable) and benefits. This range may be modified in the future.
The base salary range for this role is $80,000 - $90,000.
