Key Responsibilities: Provides administrative and customer support to sales leadership and Program Leaders, manages CRM/portal data, monitors enrollment and refund protection sales, coordinates passenger count changes with Operations, creates parent communications, and conducts parent meetings and attends conferences as needed.
Skills & Tools: Strong organizational and communication abilities, proficiency with CRM systems and web portals, customer relationship management, attention to detail, and ability to coordinate between multiple stakeholders. Experience in sales support, event coordination, or customer service preferred.
Qualifications: High school diploma or equivalent required; some college or associate degree preferred. Prior experience in sales support, customer service, or administrative roles supporting educational or travel organizations is beneficial but not strictly required.

Job Description:

Reporting to the Director of Performance Sales, a Tour Associate is responsible for supporting the Director of Performance Sales and Performance Tour Specialists in both revenue generating and administrative duties. Primary responsibilities include providing excellent service support directly to Program Leaders, building long lasting relationships with these clients, and partnering with Tour Consultants throughout the sales process.

Responsibilities:

  • Supports Director of Performance Sales & Sales Reps
  • Manages Tour Evaluations
  • Works directly with clients for day-to-day customer servicing
  • Manage client information in CRM and Tour Web Portal
  • Monitors enrolment and Full Refund Protection sales
  • Manages and disseminates to Operations all passenger count changes and final counts
  • Creates and distributes Parent Letters and Parent Meeting Information
  • Supports Sales Reps in Parent Meeting Presentations
  • Conduct parent meetings, attend conferences, orientations, FAM trips, and conventions as needed
  • Field 24 hour emergency phone calls, as needed
  • Reconcile credit card expenses in Concur
  • Manage timelines to meet due dates
  • Review bookings and create final itinerary
  • Book performance and clinics, along with any associated admissions tied to those activities.
  • Provide final counts for all performance bookings and pay deposits/final payments
  • Any other responsibilities that may be assigned from time to time


Qualifications:

  • Highly organized with a background in Administrative support
  • Ideally a minimum of 3 years’ experience in an administrative role
  • Minimum 2 year college degree (or equivalent business experience) – travel or hospitality industry a plus
  • Customer service focused
  • Goal-focused, self-sufficient individual who takes initiative
  • Responsive team player
  • Exceptional work ethic
  • Strong computer skills (i.e., Microsoft Word, Advanced Excel, PowerPoint). Use of a CRM system preferred.
