Summary

As a Capacity Operations Specialist at Parallel, you will execute and maintain the end-to-end provider staffing lifecycle, partnering with clinical, revenue, and operational leadership teams to match providers to assignments and ensure positive outcomes.

Compensation: $65,000 – $75,000/year plus 10% annual bonus and equity

Salary: $65,000 - $75,000 + 10% Annual Bonus + Equity

As a Capacity Operations Specialist, you will partner directly with the Capacity Operations, Clinical, Revenue, and Operational Leadership teams to meticulously execute and maintain the integrity of the end-to-end provider staffing lifecycle.

What You’ll Do

  • Execute the end-to-end staffing process from initial deal notification to confirmed provider assignment
    • Be the primary owner of the provider-to-assignment matching process, applying the established guidelines to prioritize deals and align providers based on clinical fit, licensing, and utilization goals
    • Keep positive provider Parallel experience front of mind
    • Conduct daily monitoring of the Salesforce pipeline to identify staffing needs triggered by new opportunities or one-off requests
  • Drive cross-functional alignment
    • Coordinate with Clinical Managers and Customer Success to follow up on assignments, answer provider questions, and ensure clinical fit for all placements
    • Manage the initiation of cross-licensing requests after approval and track the progress of license acquisition to address staffing gaps
    • Update the demand segmentation documentation to inform the Recruiting team of urgent needs in supply-constrained environments
    • Communicate urgent provider status changes, such as resignation or leave notices, by escalating to the provider's Clinical Manager and HR.
  • Support on system improvements and scale
    • Flag duplicative work and inefficiencies with staffing process
    • Provide an operational perspective to cross-functional team members to drive long-term system and process improvements that support scalable growth

What You’ll Need

A great fit for this role will have:

  • 1–3 years of experience in a high-volume operational, coordination, or data management role, preferably within a staffing, recruiting, or healthcare/education services environment
  • Proven ability to manage high-volume daily workflows, including owning and triaging ticket queues (like ZenDesk) and executing defined processes
  • Experience in supporting process improvements, identifying duplicative work, and flagging inefficiencies to help drive system scalability and growth
  • Exceptional organizational skills and meticulous attention to detail to maintain data integrity and proper documentation of all provider outreach and assignments
  • A proactive and collaborative approach, with the ability to effectively communicate potential issues (e.g., unresponsive providers, resignation notices) to cross-functional partners
  • Basic level Excel skills and the ability to perform data analysis to inform operational decisions
