Summary

The Sales Operations Assistant supports the Capstone Sales Department by managing administrative and operational tasks essential to day-to-day sales activities in an entry-level position with growth opportunities within a dynamic, mission-driven organization.

Key Responsibilities: Key responsibilities include triaging and managing the Salesforce Case Queue, maintaining the Sales Operations calendar, supporting contract distribution via DocuSign, tracking seasonal materials, administering the Sales Learning Management System, and coordinating sales webinars and communications.
Skills & Tools: Required skills include excellent organizational and communication abilities, proficiency with CRM systems (especially Salesforce), and strong competency in Microsoft Office applications (Excel, Outlook, Teams).
Qualifications: An Associate's or Bachelor's degree in Business, Marketing, Communications, or a related field is preferred, along with 1-2 years of relevant experience.
Location: Hybrid in North Mankato, Minnesota or Edina, Minnesota, United States; fully remote work may be considered.

Description

The Sales Operations Assistant supports the Capstone Sales Department by managing key administrative and operational tasks essential to day-to-day sales activities. This entry-level position focuses on organizing internal systems, maintaining sales tools and resources, handling standard inquiries, coordinating communications, and ensuring the smooth execution of team-wide processes. The ideal candidate is detail-oriented, proactive, and eager to grow within a fast-paced sales environment.

Our preference is for this role to be hybrid, based out of either our North Mankato, MN or Edina, MN locations. However, fully remote work may also be considered.

YOUR RESPONSIBILITIES

Sales Support

  • Triage and manage the Salesforce Case Queue, answering routine questions and assigning cases appropriately.
  • Maintain the Sales Operations calendar in Microsoft Teams, tracking due dates by month, season, and year.
  • Support the distribution of contracts, addendums, and quotas to sales reps via DocuSign.
  • Assist with updating and maintaining Salesforce Content structure documentation.
  • Assist with tracking and organizing seasonal materials (e.g., tip sheets, PowerPoints) in Salesforce.
  • Administer and manage the Sales Learning Management System (Tovuti), including training coordination and content updates.
  • Assist in maintaining trial account setup (Capstone Interactive and PebbleGo), including coordination with Capstone Support for custom trials. 
  • Generate and distribute monthly and seasonal sales reports under guidance.
  • Assist with maintaining and enhancing Amazon A+ pages and Brand Story content based on trade schedules.
  • Coordinate sales rep webinars, including scheduling and logistical support.
  • Fulfill CollectionWiz digital copy requests and District CollectionWiz support.

Communication & Collaboration

  • Organize and design monthly newsletters and sales/marketing updates for internal and external sales teams.
  • Provide backup support to other Sales Operations team members as needed.
  • Communicate professionally with internal staff and external partners.
  • Consistently evaluate processes and procedures to find efficiencies.

Education, Experience, and Skills desired: 

  • Associate’s or Bachelor’s degree in Business, Marketing, Communications, or related field.
  • 1–2 years of experience in administrative, operations, or sales support roles.
  • Familiarity with CRM systems, especially Salesforce, is a plus.
  • Strong skills in Microsoft Office (Excel, Outlook, Teams).
  • Excellent organizational and communication abilities.
  • Ability to multitask and maintain attention to detail in a fast-paced environment.
  • Ability to learn and navigate multiple digital platforms.
  • Self-driven learner who seeks out new skills.

Travel Requirements

This position may require some travel – around 5-10%.

The pay range for this role takes into account the wide range of factors that are considered surrounding compensation including but not limited to: skill sets, experience and training, work location, and other business and organizational needs. At Capstone, it is not typical for an individual to be hired at the top of the range for their role. A reasonable estimate of the annual pay range for this position is $40,000 - $55,000.
