Executive – HR & Administration role supporting U.S.-based employees across pre-onboarding, onboarding, HR administration, and compliance functions. This hybrid position in Arizona is critical for maintaining accurate employee records, ensuring smooth hiring transitions, and providing frontline HR support.

Key Responsibilities: Coordinate pre-employment activities (background checks, drug testing), manage new-hire onboarding documentation and orientation, maintain HRIS records in Paylocity, and support employee lifecycle management. Serve as first point of contact for HR questions, assist with benefits administration, and ensure compliance with U.S. federal and state employment requirements.
Skills & Tools: Working knowledge of U.S. HR practices and compliance, proficiency with HRIS platforms (Paylocity preferred), strong communication and organizational skills, and expertise in Microsoft Office Suite. Must demonstrate high confidentiality standards, attention to detail, and ability to manage multiple priorities across cross-functional teams.
Qualifications: 3–5 years of HR Administration, HR Operations, or Onboarding experience supporting U.S.-based employees. Bachelor's degree in HR, Business Administration, or related field preferred; HR certification (PHR or SHRM-CP) is a plus.

Compensation: $75K–$110K/yr (estimated)

Job Description

Role Overview
We are seeking a detail-oriented Executive – HR & Administration to support U.S.-based employees and day-to-day HR operations. The role will focus on pre-onboarding, onboarding, HR administration, employee support, HRIS management, and compliance.
The ideal candidate will have experience with U.S. HR processes, strong organizational and communication skills, and a high level of confidentiality and attention to detail.

Key Responsibilities
Pre-Onboarding & Onboarding
  • Coordinate background checks, reference checks, drug testing, and other pre-employment activities.
  • Manage new-hire documentation, offer letters, onboarding checklists, and orientation activities.
  • Coordinate with IT to ensure system access and equipment are available by the employee’s joining date.
  • Partner with Recruitment to ensure a smooth transition from candidate selection through onboarding.
HR Administration & Compliance
  • Maintain accurate and confidential employee records in the HRIS.
  • Manage employment documentation, employee lifecycle changes, and separation documentation.
  • Support compliance with applicable U.S. federal and state employment requirements.
  • Assist with HR reporting, audits, and documentation.
  • Ensure HR processes and employee records are completed and maintained accurately and on time.
Employee Support
  • Serve as a first point of contact for employee HR-related questions and requests.
  • Support benefits administration, including health insurance, retirement plans, and leave administration.
  • Assist with employee engagement and performance management activities.
  • Escalate complex employee or HR matters to HR leadership as appropriate.
HR Systems & Cross-Functional Coordination
  • Maintain employee data and records in Paylocity and other HR systems.
  • Coordinate with Recruitment, IT, Finance, and other internal teams on employee-related activities.
  • Support HR reporting and ensure timely completion of recurring HR processes.
  • Help identify and resolve administrative or process-related issues.
Required Skills & Experience
  • 3–5 years of experience in HR Administration, HR Operations, Onboarding, or a related function.
  • Experience supporting U.S.-based employees and HR processes.
  • Working knowledge of U.S. HR practices and compliance requirements.
  • Experience with HRIS platforms; Paylocity experience preferred.
  • Proficiency in Microsoft Office Suite.
  • Strong communication, organization, and time-management skills.
  • High level of confidentiality and attention to detail.
  • Ability to manage multiple priorities and work effectively with cross-functional teams.
Preferred Qualifications
  • Bachelor’s degree in HR, Business Administration, Organizational Psychology, or a related field.
  • Experience working in a U.S.-based or globally distributed organization.
  • HR certification such as PHR or SHRM-CP is a plus.
