Associate Services Planner supports the scheduling, staffing, and execution of professional learning services engagements for Great Minds' regional services operations. This role ensures timely completion of service delivery activities and maintains accurate records while acting as a key operational partner to the Lead Services Planner.

Key Responsibilities: Coordinate end-to-end scheduling and staffing of professional learning services, track upcoming engagements, maintain scheduling records, and communicate with customers to confirm session details and logistics. Manage session preparation activities, arrange facilitation materials, handle documentation requirements, conduct pre-invoicing processes, and ensure timely completion of close-out activities in accordance with service level agreements.
Skills & Tools: Strong organizational and detail-oriented abilities with proficiency in scheduling tools and data management systems; excellent written and verbal communication skills for internal and external coordination, customer service orientation, and ability to manage multiple concurrent engagements.
Qualifications: High school diploma or equivalent required; 1-2 years of experience in operations, project coordination, customer service, or related field preferred. Demonstrated ability to manage schedules, coordinate logistics, and maintain accurate records in a fast-paced environment.
Location: Remote
Compensation: Not provided by employer. Typical compensation for this role is $50,000 – $65,000/year based on title, seniority, and location.

Job Purpose

Great Minds is looking for a detail-oriented individual to join our team as an Associate Services Planner in our Regional Services Operations teams. In this role, the individual will be responsible for supporting the preparation and close-out activities for professional learning services engagements in close partnership with the Lead Services Planner. This role helps ensure timely completion of work activities for staffing and preparation of services and maintains accurate and high-quality records. This role is primarily internal facing with some limited interaction with customers to confirm details and logistics in preparation for upcoming service sessions.


Responsibilities

  • Act as partner to Lead Services Planner in support of the end-to-end process of scheduling, staffing, and completing professional learning services in assigned territories

  • Track upcoming engagements and enter approved staffing plans into the scheduling tool and confirm assignments with coaches

  • Maintain accurate and quality of records in the scheduling tool

  • Lead preparation activities for service sessions, including communicating with customers to confirm service session details and logistics

  • Arrange other session logistics, such as facilitation materials, and coordinate internally as needed

  • Understand documentation requirements for each customer and develop proper and timely documentation

  • Confirm completion of each session and trigger other close-out activities (e.g., Coaching Debrief)

  • Conduct pre-invoicing process steps to trigger process for Accounting and coordinate with Accounting and Sales to resolve issues and follow through to resolution

  • Ensure timely completion of preparation and close-out activities in accordance with service level agreements
