The Proposal Specialist, Adoptions and Proposals provides operations support for the Adoptions & Proposals team by preparing and managing proposal materials from creation through submission and delivery to school districts and departments of education.

Key Responsibilities: Manages the complete production process including desktop publishing, formatting, and coordination of proposal components; works with internal and external team members to gather ancillary materials, ensure accuracy, and coordinate final delivery of proposals in hard copy or digital format.
Skills & Tools: Proficiency with Microsoft Office suite, Adobe Pro, SharePoint, and other business applications (Qvidian experience preferred); excellent attention to detail, communication, and organizational skills with ability to work in fast-paced environments and meet strict deadlines.
Qualifications: Understanding of administrative and clerical procedures with proven ability to manage files, records, and multiple simultaneous tasks accurately; experience working collaboratively across teams with competing needs.

Compensation: $25–$41/hr

The Proposal Specialist, Adoptions and Proposals provides operations support for the Adoptions & Proposals team by successfully preparing materials related to various stages of development and production—from creating covers for binders to coordinating with colleagues on proposal deliverables to submitting (in hard copy or digitally) finished proposals and following up with school districts and departments of education on post-award debriefs. The successful candidate will have an understanding of administrative and clerical procedures, managing files and records, and expertise with the Microsoft Office suite, Adobe Pro, and business applications such as SharePoint. The impact you'll have: Owns the production process, including desktop publishing, formatting, editing, and either printing/copying/producing binders/shipping or working with a print shop to get proposal packaged and shipped Works directly with internal and external team members to gather all ancillary components of each assigned proposal (e.g. forms, signatures) Ensures all required proposal components (e.g., bid cover, technical narrative, cost proposal, appendices) are accurately combined into a final PDF for review prior to production and submission Coordinates with the assigned team members as applicable to perform a final page turn, ensuring all delivery specifications are addressed Provides team members with integral pieces of a proposal (e.g., resumes, client references, statistics) Maintains client reference database Notifies team of submission and closes out proposal folders Completes vendor registrations Provides team members with program demonstration codes and access Other relevant duties, as assigned Who we're looking for: Proficient in completing tasks that consist of simultaneous recurring and stand-alone activities that must be completed quickly and accurately with strict attention to detail. Excellent communication and organizational skills Proven ability to maintain accuracy and attention to detail Ability to work in a fast-paced environment, respond to multiple constituencies, and meet established deadlines Proven ability to work collaboratively and effectively across teams with competing needs Proficiency with Word, Excel, Adobe Pro, SharePoint, and other standard business applications; Qvidian experience preferred Ability to support Eastern Standard Time business hours; preference for candidates based in the Eastern and Central Time Zones Required Education and Experience: 2+ years of professional experience Bachelor’s degree, or equivalent experience Benefits and Pay Range: Pay Range: This role’s range is $25/hr-$41/hr. The wage range for this role takes into account the wide range of factors that Curriculum Associates considers in making compensation decisions based on our Compensation Philosophy. Actual base pay within that range will vary based upon several factors including, but not limited to, prior experience and relevant skill sets. At Curriculum Associates, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances for each case. This role is also eligible to participate in the company bonus plan. The Company recognizes that minimum wage varies by location and will ensure all compensation decisions comply with applicable state and local laws.
