Job Description

Position Overview:

The school operations administrator is responsible for overseeing the school office, and maintenance of office equipment, and acts as the first point of contact for families and visitors to the school. Specifically, the SOA is responsible for maintaining complete student files for each child, serving as the manager of student health and medical information, and playing a critical role in the school’s day to day operations. The SOA works as the lead in executing advocacy tasks and managing core family engagement efforts, such as supporting the school’s KIPP Family Association and ensuring high attendance at family events. The SOA reports directly to the School Operations Manager.

Duties and Responsibilities:

General responsibilities include (but are not limited to):

  • Daily Operations: Support core school systems, including arrival, attendance, transitions, lunch/recess, and dismissal. Serve as a primary point of contact in the main office for students, staff, families, and visitors.
  • Communication: Communicate clearly and professionally with a range of stakeholders. Respond to emails and phone calls within 24–48 hours and foster a welcoming, student-centered environment.
  • Data & Compliance: Manage daily attendance processes, maintain accurate student records, and ensure completion of required documentation (e.g., immunizations, lunch forms). Support ATS tasks, data submissions, and MetroCard distribution.
  • Office & Event Management: Support school events through logistics, setup, and coordination. Maintain a clean, organized, and fully operational main office, including managing calls and student documentation.
  • Family Engagement: Prepare and distribute family communications, including flyers and notices. Support family engagement initiatives, including KIPP Family Association events and advocacy efforts.
  • Student Health & Safety: Respond to student health needs and coordinate with the school nurse as needed. Serve as a member of the Building Response Team (BRT) and support emergency response procedures.
  • Additional Responsibilities: Ensure office supplies and equipment are maintained. Participate in school-wide activities, including field trips and enrichment programs, in support of the school’s mission.
