Job Summary:
We are seeking an experienced and detail-oriented RFP Manager to lead the Request for Proposal (RFP) process across our organization. This role is critical in ensuring we deliver high-quality, competitive proposals that align with our strategic objectives. The ideal candidate will be a strong cross-functional collaborator, process innovator, and advocate for efficiency, leveraging RFP tools to optimize workflows. Familiarity with K-12 education is essential, as our opportunities serve this sector.
Key Responsibilities:
- RFP Management:
- Oversee the end-to-end RFP process for all business opportunities.
- Ensure proposals are completed on time, meet client requirements, and adhere to company standards.
- Cross-Functional Leadership:
- Collaborate with internal stakeholders, including Sales, Product, Legal, Marketing, and Operations, to gather necessary information for proposals.
- Facilitate stakeholder alignment meetings to ensure seamless coordination and accountability.
- Process Development and Optimization:
- Develop and maintain a standardized, efficient RFP process.
- Continuously identify areas for improvement and implement best practices.
- RFP Tools and Technology:
- Utilize RFP software and tools (e.g., Loopio, RFPIO, or similar platforms) to streamline the proposal process, manage responses, and maintain a centralized content library.
- Train team members on RFP tools and promote adoption across the organization.
- Leverage AI writing and research platforms (e.g., ChatGPT, Claude, Gemini, or similar tools) to improve response quality, accelerate drafting, and enhance competitive positioning within proposals.
- Use AI tools to analyze competitor proposals, identify differentiation opportunities, and strengthen LINQ’s win narrative.
- Content Management:
- Maintain an up-to-date repository of responses to commonly asked questions, templates, and other key materials.
- Ensure consistency and accuracy in all proposal documents.
- Market Expertise:
- Stay informed about trends and developments in K-12 education to tailor proposals effectively.
- Maintain knowledge of competitors and client needs within the education sector.
- Metrics and Reporting:
- Track and report on key performance indicators (KPIs) such as win rates, response times, and client feedback.
- Provide insights to leadership on opportunities to improve RFP success rates.
- FOIA Process Management:
- Own the end-to-end FOIA (Freedom of Information Act) request process, including intake, tracking, and coordinating responses with Legal, Product, and Sales teams.
- Ensure timely and compliant responses to FOIA requests; maintain a log and audit trail for all submissions.
- Use FOIA data proactively to identify competitive intelligence and procurement trends that inform proposal strategy.
- Buying List Management:
- Build and maintain accurate buying lists for K-12 districts, including cooperative purchasing vehicles, state contracts, and approved vendor lists.
- Partner with Sales to ensure reps have current, actionable buying list data to support pipeline development and RFP targeting.
- Leverage tools like GovSpend and ZoomInfo to enrich buying lists and track district procurement activity.
Qualifications:
- Bachelor’s degree in Business, Marketing, Education, or a related field.
- 5+ years of experience managing RFPs, with a preference for experience in K-12 education.
- Strong project management skills with a proven ability to manage multiple RFPs simultaneously.
- Proficiency in RFP tools (e.g., Loopio, RFPIO, or similar platforms) and comfort using AI writing tools (e.g., ChatGPT, Claude, or similar) to improve proposal quality and efficiency.
- Exceptional written and verbal communication skills.
- Strong analytical and problem-solving abilities.
- Ability to work collaboratively across teams and manage relationships with diverse stakeholders.
- High attention to detail and a commitment to producing high-quality work under tight deadlines.
Preferred Qualifications:
- Familiarity with procurement processes in the K-12 education sector.
- Experience developing strategic narratives in proposals.
- Certification in project management (PMP, CAPM) or proposal management (APMP).
Travel Requirements:
