The Coordinator will be a part of the Kaplan India core operations team, responsible for managing a part of the Finance operations and processes, the Procurement (hardware) processes as well as local administrative support in Kaplan India. The role involves and expects strong financial background, great communication skills, excellent vendor management abilities and a strong focus towards driving process improvement, enhancing efficiency, and controlling costs. You will play a pivotal role in ensuring the internal financial controls are met with respect to both finance and procurement and overall ensure operational excellence within the local India operations. We seek a strong professional with a proven expertise, ability to manage multiple priorities in a dynamic environment and a willingness to learn and adapt. As all organizations today, we are on a focussed journey to leverage AI and ensure optimum operational efficiency - a key focus for this role will be helping us modernize our finance and procurement workflows to drive continued efficiency and innovation. Primary/Key Responsibilities End-to-End Vendor Onboarding: Manage vendor documentation, execute dual verification processes, and coordinate with the parent company to ensure compliance and final approval. Financial Administration: Process invoices by allocating expenditures to departmental cost codes, partner with the finance team to track payments, and accurately reconcile petty cash logs. Facility Operations & Logistics: Act as the primary liaison with facility management for maintenance and supplies, while also coordinating corporate travel, team events, and ad-hoc office needs. Document Management: Administer e-signature workflows for leadership approvals and oversee the secure routing of paperwork requiring physical signatures. IT Procurement & Sourcing: Partner with Enterprise IT to evaluate regional hardware needs, source competitive quotes from registered vendors, and prepare cost-comparison matrices for leadership approval. Purchasing Lifecycle: Execute equipment purchase orders, verify the physical receipt of goods at the office, and securely transition hardware to the IT department. Asset Management & Repairs: Maintain and update the regional Asset Database by logging all new hardware, identifying faulty equipment, and managing the end-to-end repair process. Hybrid Schedule: 3 days remote / 2 days in office 30-day notification period preferred Minimum Qualifications Bachelor’s Degree 3+ years of experience as a coordinator/executive in finance & procurement operations preferably in technology organizations. Experience in managing internal and external stakeholder relationships is mandatory Must be solutions oriented, highly organized, and demonstrate the ability to handle numerous details. Must exhibit professional and courteous communication. Able to thrive in a fast-paced work environment and openness to adopt change. With AI being a key focus area, we are implementing various efficiency improvement oriented AI initiatives. The candidate must have interest in or experience with AI automation tools to streamline business processes. Applicants must be comfortable working remotely with US-based colleagues and across time zones. Excellent communication, negotiation, and interpersonal skills. Demonstrated ability to build and maintain relationships with vendors.
