Job Description

At Instructure, we believe in the power of people to grow and succeed throughout their lives. Our goal is to amplify that power by creating intuitive products that simplify learning and personal development, facilitate meaningful relationships, and inspire people to go further in their education and careers.
We do this by giving smart, creative, passionate people opportunities to create awesome. And that's where you come in:

The Associate Total Rewards Partner is a new on-the-ground addition to our EMEA Total Rewards team, working side by side with our UK-based Total Rewards Partner to support employees across the region. As EMEA headcount has grown, so has the operational load on our UK TR Partner; this role is specifically designed to take significant day-to-day work off her plate — owning benefits administration, leave, local vendor coordination, and front-line employee support — so she can focus on higher-impact strategic and program work. The role may also be called on to provide support for employees in LATAM and APAC as needed, helping extend our Total Rewards coverage beyond EMEA where the business requires. Reporting to the Senior Manager, Total Rewards, you will also partner closely with the U.S.-based Senior Benefits Analyst to deliver a consistent global benefits experience. This is an excellent opportunity for an early-career HR or Total Rewards professional to learn directly from an experienced regional partner, build broad international expertise, and grow into a more senior Total Rewards role.

Key Responsibilities

  • EMEA Benefits Administration: Take ownership of the day-to-day operations of EMEA benefits programs across Hungary and other in-region countries — including private medical, life and disability, pension/retirement contributions, allowances, and wellness initiatives — in close coordination with the UK-based Total Rewards Partner.

  • Statutory & Local Leave: Coordinate the administration of statutory and supplemental leave programs across EMEA, including maternity, paternity, parental, sick leave, and other locally mandated absences, partnering with local payroll and HR Business Partners.

  • Local Vendor & Broker Coordination: Act as the day-to-day point of contact for in-region brokers, insurance carriers, and pension providers; track service levels, manage enrollments and terminations, and escalate complex issues appropriately.

  • Compliance Support: Help ensure EMEA benefits programs comply with local labor law and statutory requirements; maintain country-level documentation, support audits, and flag regulatory changes for review.

  • Local Program Adaptation: Help adapt the global benefits philosophy to local market norms, statutory minimums, and cultural expectations across EMEA countries while staying aligned with the global Total Rewards strategy.

  • Employee Support: Be the trusted first point of contact for EMEA employees on benefits and leave questions; deliver clear, empathetic responses and create simple guides and FAQs to reduce repeat questions across the region.

  • Open Enrollment & Renewals: Support annual renewals and any local enrollment cycles end-to-end, including HRIS data updates, testing, communications, and post-renewal audits — taking primary responsibility for execution so the UK TR Partner can focus on strategy and plan design.

  • Data & Reporting: Pull and reconcile enrollment and invoice data; produce regular reports and dashboards on EMEA participation, cost, and trends to inform renewal and plan-design decisions.

  • Benchmarking Support: Assist with EMEA benefits benchmarking and market surveys; help compile inputs and summarize results for senior review.

  • Invoice Reconciliation: Review and reconcile monthly carrier invoices against HRIS records; partner with local Finance and Payroll on coding and approvals.

  • Process Improvement: Identify opportunities to streamline EMEA benefits administration in Workday and with vendor partners; document standard operating procedures alongside the UK TR Partner.

  • Cross-Region Partnership: Partner day-to-day with the UK Total Rewards Partner as your primary collaborator, and work closely with the U.S. Senior Benefits Analyst on global alignment, shared best practices, and a coherent worldwide employee experience.

  • LATAM & APAC Support (as needed): Provide flexible Total Rewards support for employees in LATAM and APAC as business needs require, including answering employee questions, coordinating with local vendors, and helping ensure benefits and leave programs are administered consistently outside of EMEA.

Qualifications

  • Education: Bachelor’s degree in Human Resources, Business Administration, Economics, or a related field.

  • Experience: 1–3 years of experience in HR, Total Rewards, benefits administration, or a closely related field; exposure to multi-country EMEA programs is a strong plus.

  • Regulatory Awareness: Familiarity with EU labor law and benefits practice; willingness and ability to learn the regulatory landscape across additional EMEA countries, and (as needed) LATAM and APAC.

  • Technical Skills: Comfort working in an HRIS (Workday preferred) and strong Excel skills (formulas, pivots, basic data cleanup) for reconciliation and reporting.

  • Languages: Fluent written and spoken English required; preferred; additional European languages are a plus.

  • Communication: Ability to explain benefits concepts to employees clearly and with empathy, and to communicate effectively across time zones with UK- and U.S.-based partners.

  • Soft Skills: Detail-oriented, organized, curious, and comfortable juggling multiple priorities in a fast-paced, globally distributed environment.
