Summary

The Senior Gift Processing Manager leads a gift processing team responsible for managing 16,500 private revenue transactions annually while ensuring accurate, timely processing and IRS compliance for a 501(c)(3) nonprofit organization across 29 locations nationwide.

Key Responsibilities: Lead data analysis and reporting, create Salesforce dashboards and reports, oversee gift entry and acknowledgement processes, coordinate financial reconciliation, and ensure compliance with gift processing guidelines and tax policies across all City Year locations.
Skills & Tools: Proficiency with fundraising database software (Salesforce preferred), team leadership and management experience, strong communication and organizational abilities, and detailed data analysis skills in a fast-paced environment.
Qualifications: At least 3 years of gift processing or accounting experience, preferably in a nonprofit development office, with demonstrated experience leading teams and managing direct reports.

Compensation: $70,000 – $110,000/year

Gift Processing Director manages gift processing team and is responsible for 16,500 private revenue transactions to be processed accurately, timely, and within IRS compliance for 501 C 3 orgs.

Position Overview

Reporting to the Vice President Development Operations the Director, Gift Processing will be responsible for supporting and acknowledging and contributions entry into our Salesforce database through a centralized process for City Year’s 29 locations nationwide as well as Headquarters. This position will also support our Headquarters fundraising team with their pipeline management and maintaining best practices. This position requires a very detail-oriented person with an ideal background working with and managing teams of people in a fast-paced environment.

Responsibilities

  • Lead data analysis and reporting for the gift processing team:
  • Create and maintain tools to track event/gala/etc. progress towards goals.
  • Ensure maintenance and accuracy of gift data.
  • Utilize Salesforce and other tools to create reports and dashboards for internal and external audiences
  • Coordinate with finance to ensure timely and accurate reconciliation of gifts.
  • Support ancillary teams to ensure accuracy and continual process improvement:
  • Collaborate with ITS to ensure system integrations and data integrity, specifically supporting gift processing
  • Work across HQ and individual sites to ensure compliance in gift processing guidelines
  • Work with the larger development operations team to ensure priorities and process improvements are timely and aligned
  • Ensure legal standards and compliance with gift administration/tax policies and regulations are maintained through:
  • Track and process all online gifts and credit card donations in Salesforce for all 29 sites and Headquarters.
  • Coordinate with appropriate site operations staff to analyze gifts to determine appropriate campaigns, funds, appeals for each gift to be processed.
  • Produce gift receipts and individualized acknowledgement letters for all gifts received in a timely and accurate fashion.

Qualifications

  • At least 3 years of gift processing or accounting experience, preferably in an accounting, finance, or non-profit development nonprofit office.
  • Experience leading teams and managing direct reports
  • Experience with fundraising database software packages; familiarity with Salesforce preferred
  • Ability to work successfully in a team environment
  • Ability to develop relationships with co-workers and employees in other City year locations and departments through effective communication
  • Strong time management and organizational abilities
  • Ability to maintain confidentiality of donor information and development records
  • Experience working in complex environments with a high degree of organizational effectiveness
  • Excellent communication skills with a proven ability to effectively interact with all levels of employees
