Summary

Records Specialist at Primavera/StrongMind maintains compliant student records and provides administrative support in a hybrid educational environment. This role ensures regulatory compliance with school, district, state, and federal policies while supporting enrollment and records management operations.

Key Responsibilities: Manage student records compliance, process record requests, respond to enrollment inquiries, maintain accurate permanent student records and test scores, answer inbound calls, and provide occasional front desk and mailroom support. Collaborate interdepartmentally to facilitate positive enrollment experiences and assist with administrative tasks as assigned.
Skills & Tools: Exceptional attention to detail, high-level organizational skills, ability to work effectively under time pressure while maintaining professionalism and composure, strong customer service capabilities, and demonstrated administrative experience. Proficiency in records management and knowledge of educational compliance requirements preferred.
Qualifications: High School Diploma or GED required; minimum two years of administrative office experience, preferably in educational settings. Successful completion of a fingerprint background check required.

Position Summary: Primavera is seeking a dynamic individual to join our innovative team as a Records Specialist.

Here’s what to expect:

  • Ensure student records and student information is compliant with all applicable school, district, state, and federal policies for state audits.
  • Maintain accurate permanent student records and test scores.
  • Comply with record requests accurately in a timely manner.
  • Collaborate with other schools and/or outside agencies regarding student records.
  • Answer inbound calls regarding student enrollment status and records requests.
  • Occasionally assist with front desk coverage.
  • Collaborate interdepartmentally to facilitate a positive, professional enrollment experience. This includes providing requested information or directing the prospective student to appropriate department when necessary.
  • Occasionally assist with mailroom / shipping duties.
  • Other duties as assigned.

The Successful Candidate possesses:

  • An exceptional level of attention to detail High level of organizational skills.
  • Demonstrated ability to effectively work under time pressures while maintaining a rigorous attention to detail, composure, professionalism, and a positive attitude.
  • High School Diploma or GED.
  • Two+ years’ experience in an administrative office position.
  • Educational environments highly preferred.
  • Successful completion of a fingerprint background check.
