Position Overview

We are seeking a dynamic and results-driven Project Manager with proven expertise in project management methodologies and a strong focus on trafficking and workflow coordination. The ideal candidate will excel at driving high-performing teams to deliver exceptional digital products and solutions by managing timelines, priorities, and resources with precision. This role requires a strategic thinker and operational organizer who can bridge both traditional Waterfall and Agile delivery models, while ensuring seamless task flow across cross-functional teams.

Key responsibilities include managing and routing work efficiently between departments, tracking deliverables, mitigating bottlenecks, and maintaining visibility into project statuses. The successful candidate will be process-oriented, deadline-driven, and adept at balancing the needs of creative, technical, and stakeholder teams.

This role blends traditional project oversight with hands-on traffic management and workflow orchestration.

Key Responsibilities

Lead End-to-End Project Execution: Manage the full lifecycle of projects across cross-functional teams using project methodologies, with a strong emphasis on workflow efficiency and deliverable tracking.
Traffic and Workflow Coordination: Serve as the central point for trafficking work across departments, ensuring clear assignment, prioritization, and movement of tasks to meet project timelines and resource constraints.
Cross-Functional Collaboration: Partner with stakeholders to define and manage project scope, schedules, and delivery goals, ensuring a smooth flow of communication and handoffs.
Task and Resource Management: Develop and manage detailed projects and traffic schedules, including resourcing plans, task dependencies, and delivery milestones. Monitor bandwidth and team capacity to balance workloads effectively.
Smartsheet: Serve as the Smartsheet Subject Matter Expert (SME) and platform administrator for the organization, responsible for developing, optimizing, and maintaining scalable workflows, dashboards, request forms, automated alerts, and custom solutions to support cross-departmental project tracking and collaboration.
Risk & Issue Mitigation: Identify workflow bottlenecks and project risks early, escalating or resolving issues quickly to maintain project momentum and minimize disruptions.
Status Reporting & Visibility: Maintain real-time visibility into work progress through project tracking tools. Regularly provide clear, concise updates to stakeholders and leadership.
Quality & Timeliness Assurance: Ensure that deliverables are completed on time, meet business requirements, and align with defined quality standards.
Process Improvement: Promote continuous improvement in trafficking and delivery processes.
Adaptability in Delivery Methods: Flex delivery approach depending on project type, urgency, and team dynamics, fluidly shifting between Agile, Hybrid, and Waterfall as appropriate to ensure optimal outcomes.

Key Qualifications

Bachelor’s degree in Business, Communications, Digital Media, Computer Science, or a related field; PMP, CSM, or other Agile certifications strongly preferred.
5+ years of project management experience, including direct experience trafficking work and managing project workflows across Agile, Hybrid, and Waterfall delivery models.
Proven track record of delivering digital products (e.g., websites, apps, SaaS platforms) in fast-paced, cross-functional team environments.
Proficiency in project and workflow management tools such as Smartsheet, MS Project, JIRA.
Strong organizational skills and detail orientation; adept at developing and managing schedules, resource plans, task dependencies, and project dashboards.
Experience managing multi-disciplinary teams and trafficking creative, technical, and marketing deliverables simultaneously.
Strong communication and interpersonal skills, with the ability to coordinate between departments, manage expectations, and deliver updates to stakeholders at all levels.
Demonstrated ability to identify and resolve workflow bottlenecks and operational inefficiencies quickly and diplomatically.
