The Executive Assistant supports Content Acquisition and Management VPs plus Reference Content Leadership at Elsevier, managing administrative activities, projects, and content coordination across the organization. This role ensures smooth operations while supporting senior leadership in a fast-paced, global publishing environment.

Key Responsibilities: Coordinate meetings end-to-end including agendas and minutes, provide high-level administrative support to Directors with calendar and expense management, manage project approvals up to executive level, oversee onboarding coordination, and support operational processes including purchase orders and vendor contract renewals. The role also involves cross-functional coordination with marketing, compliance, and process improvement initiatives.
Skills & Tools: Strong organizational and project coordination abilities with proficiency in calendar management, meeting coordination, and executive-level scheduling. Required skills include knowledge of GDPR/privacy policies, stakeholder management, business systems (contract management tools, Oracle, Microsoft Office/Teams), and familiarity with AI and database tools.
Qualifications: Experience supporting senior leadership or executive teams in fast-paced environments with demonstrated ability to manage multiple priorities and work with external partners. Knowledge of GDPR compliance processes and experience with operational process improvement is preferred.
Location: In-Person - 3 Locations
Compensation: $49K–$82K/yr

We prioritize timely delivery, impactful content, and robust support for our authors and customers, using the latest technologies and data to innovate continuously and to advance human progress together.   About the Role:  The Executive Assistant works closely with, and supports the Content Acquisition VPs, Content Management and Operational Excellence VPs, plus the Reference Content Leadership team, to manage administrative activities and projects and ensure the smooth running of the business. In addition to EA support, the role will involve work on content coordination activities across the organization. Responsibilities:  • Coordinate meetings end-to-end, including agendas, logistics, and minutes, while supporting editorial board sessions (travel, catering, and event setup) • Provide high-level administrative support to Directors and leadership, including calendar management, expense filing, and cross-functional troubleshooting • Maintain organizational data (org charts, employee lists, contacts) and support Critical Author processes for leadership • Manage project approvals and workflows, including executive-level coordination up to MD and CEO • Act as systems liaison/administrator, supporting contract tools, access management (new hires/leavers), and vendor contract renewals • Lead onboarding coordination, including scheduling, training plans, and new hire support • Oversee operational processes including purchase orders, payments, pricing/print runs, and contributor agreements • Support cross-functional coordination (marketing, awards, GDPR/privacy compliance) and process improvements; work with colleagues to identify and trial new ways of working (including AI tools) Requirements:  • Experience supporting senior leadership or executive teams in a fast-paced environment • Strong organizational and project coordination skills, with the ability to manage multiple priorities • Experience with calendar management, meeting coordination, and executive-level scheduling • Knowledge of GDPR and privacy policies or experience supporting compliance processes • Strong stakeholder management and communication skills across cross-functional teams • Ability to support operational processes and identify areas for improvement • Proficiency with business systems (e.g., contract management tools, Oracle, Microsoft Office/Teams) • Experience working with external partners, along with familiarity using AI and database tools Work in a way that works for you: We promote a healthy work/life balance across the organisation.
