Role Summary
The Implementation Project Manager is the primary strategic architect and orchestrator of the customer journey for schools transitioning to Veracross school implementations in the Australian market. This role balances rigorous demands, managing 15 to 20 concurrent deployments at any given time. You will balance project logistics with high-level stakeholder management, ensuring that both the school's leadership and the internal Veracross technical teams are aligned. You will serve as an "Internal Champion" for the region, translating Australian market needs into successful software deployments. Your responsibilities include providing oversight of implementation progress, managing school stakeholder relationships, and ensuring alignment between school leadership and Veracross technical teams through monthly or fortnightly strategic reviews. Success means balancing competing priorities while maintaining high-quality delivery and sustained stakeholder alignment.
Reporting to: Director of Implementations, APAC
Core Responsibilities
1. Project Leadership & Strategic Delivery
- End-to-End Orchestration: Develop, coordinate, and track comprehensive implementation plans and resource schedules to ensure high-quality, on-time delivery.
- Strategic Kickoffs: Lead implementation kickoffs to discover school-specific goals, set clear role expectations, and verify project timelines. You may be required to cross-train on some specific module implementations to provide continuity and implementation delivery as needed.
- Milestone Management: Conduct regular reviews of staffing, timelines, and process expectations, providing schools with absolute clarity on their implementation status.
- Feedback Integration: Proactively solicit school feedback to ensure stakeholders have the necessary context and confidence as they move through the implementation lifecycle.
- Risk Tracking & Resolution: Maintain a continuous view of implementation health for each school by tracking risks surfaced by school stakeholders or flagged internally by implementation staff, reviewing open items during periodic strategic project reviews, and driving each risk toward resolution.
2. School Success & Change Management
- Stakeholder Coordination: Serve as the primary escalation point and relationship owner for assigned schools. Independently manage escalations and challenging conversations with school leadership. Partner with school-based project managers to drive effective change management and clear communication across all school departments, reducing friction and ensuring schools have direct access to leadership support.
- Accountability: Ensure school personnel are tracking toward their goals by completing required self-paced training and attending live sessions with Veracross experts.
- Tool Integrity: Own Salesforce project setup and administration for all APAC implementations across all product lines, ensuring consistent project structure and data accuracy. Maintain and update other Veracross project management tools to ensure data accuracy for all assigned accounts.
3. Internal Collaboration & Regional Advocacy
- Global Team Integration: Collaborate frequently with Implementation Managers, Engineers, and Customer Success Managers to ensure technical assignments remain on schedule.
- Market Subject Matter Expert & Internal Advocate: Serve as the authoritative internal voice for the Australian education market. Identify and communicate regional nuances, sales notes, and specific trends, school pain points, competitive positioning, and market nuances back to global leadership and the broader team.
- Internal Championing: Escalate issues requiring management focus and champion how Veracross can better serve the unique needs of Australian educational institutions to inform product development, service improvements, and strategic priorities.
- Experience within the Australian K–12 education sector, with demonstrated understanding of local operations, regulatory environment, and school leadership dynamics.
- 5+ years of project management experience, including leading complex SaaS or enterprise software implementations (12–18 months in duration), with demonstrated maturity and authority to conduct strategic conversations with school leadership and independently resolve escalations without director-level intervention.
- Demonstrated ability to manage 20 to 25 concurrent projects, balancing competing priorities while maintaining high-quality delivery and stakeholder alignment.
- Broad and thorough knowledge of Veracross products, especially SIS, including functionality and configuration, or proven ability to rapidly develop this knowledge through self-directed learning and collaboration with technical teams. Must understand implementation details sufficiently to provide strategic guidance on timelines, risks, and resource planning.
